Wi-Fi set up
You won’t need the Brother instruction book, just follow along with these steps.
Step 1: Unbox and configure the printer
Unbox your printer.
Insert badges. You can find step-by-step photo instructions here.
If you need to order badges, you can purchase them from our store or purchase Brother DK-1202 model badges from the retailer of your choice.
Note: Envoy badges come with a reusable black plastic frame. When replacing a badge roll, save this for the next roll. Other brands may come affixed to the plastic frame, in which case it is not reusable.
Lock in the printer’s preinstalled coin cell battery.
Make sure the printer is turned off.
Open the cover, and remove the insulation seal from the coin cell battery.
Ensure the coin cell battery cover is in the lock position. If not, use a coin or similar object to adjust the cover into the locked position.
Note: The battery should always be inserted (-) side down.
Assemble and insert the roll of badges into the printer. Learn more.
Plug the black power cord into the printer and a power socket.
Press the power button to turn on the printer. Make sure the green status light comes on.
Use the [▲], [▼] and [OK] buttons to set your language, the time and date as prompted.
If you’re not already on the main screen, navigate there now using [↩] button.
Press the [Menu] button.
Use the [▲] and [▼] buttons to select WLAN > WLAN (On/Off) > On in the settings menu. Press [OK].
Use the [▲] and [▼] buttons to select WLAN > Infra Manual Setting in the settings menu. Press [OK].
Your printer will search for available Wi-Fi networks. Remember, your printer and iPad will be on the same network.
Note: The Brother printer only supports connections to 2.4 GHz wireless band. If you are using a dual-band router, your iPad(s) can remain connected to the 5 GHz band and your printer can connect to the 2.4 GHz band.
Use the [▲] and [▼] buttons to select your desired network. Press OK.
Provide your password.
Look at the top right of the screen. Press [Menu] to switch between uppercase, lowercase, numbers, and symbols.
Use the [▲] and [▼] buttons to select the correct characters.
If it connects, it will say “Connected!” Press [OK].
If it does not connect, repeat steps 9 through 14.
Press the [↩] button to return to the main screen. You should see the Wi-Fi icon in the top right.
Step 2: Find the IP address
Use the [▲] and [▼] buttons to select WLAN > WLAN Status > Infrastructure Mode in the settings menu. Press [OK].
Beside IP Addr, you’ll see the IP address. It will be a series of numbers separated by periods (for example
192.168.1.44or10.0.1.23).
This series of digits identifies your specific printer. We recommend writing these digits on your printer.
Step 3: Pair the printer with Envoy
On your computer, log in to Envoy, and go to Visitors > Devices > Printers.
Select Brother QL-820NWB.
Select Wi-fi.
Type your IP address under Printer IP address, and click Save.
Step 4: Enable badge printing
Note: If you have multiple visitor types, you’ll configure badge printing per visitor type.
Select the visitor type you wish to edit.
Select Badge from the top navigation.
Toggle Badge printing to the on position.
Step 5: Test printing
Turn on your iPad.
Open the Envoy app, and tap the “Tap to sign in” button.
Note: If you have multiple visitor types, choose a visitor type that has badge printing enabled.
If a badge does not automatically print, please contact us.
Tip: We recommend having your IT team set up a static IP address. Using a static IP address will provide you with continuous connectivity to your printer. In other words, you’ll never have to worry about your IP address getting reset.
Ethernet set up

Connect the Ethernet cable to the port on the back of the printer.
Depending on your setup, connect the other end of the Ethernet into the LAN port in your desk, wall, or directly into your router.
Press the power button to turn on the printer. Make sure the green status light comes on.
Use the [▲], [▼] and [OK] buttons to set your language, the time and date as prompted.
Step 2: Find the IP address
Use the [▲] and [▼] buttons to select Menu > Information > Print Configuration > All > Start in the settings menu. Press [OK].
Nine badges will print. Discard the first six. On the seventh badge, locate IP Address.
Beside IP Address, you’ll find your IP address. It is a series of numbers separated by periods (for example
192.168.1.).
Step 3: Pair the printer with Envoy
On your web dashboard, go to Visitors > Devices > Printers.
Select Brother QL-820NWB.
Select Ethernet.
Type your IP address in the field, and click Save.
Step 4: Enable badge printing

Select the visitor type you wish to edit.

Press the [Menu] button.
Use the [▲] and [▼] buttons to select Bluetooth > Bluetooth (On/Off) > On in the settings menu. Press [OK].
Use the [▲] and [▼] buttons to select Bluetooth > Automatic Reconnection > On in the settings menu. Press [OK].
Press the [↩] button to return to the main screen. You should see the Bluetooth icon in the top right.
Step 2: Pair the printer with the iPad
On your iPad, open the ⚙️ Settings app. Go to Settings > Bluetooth.
Ensure that Bluetooth is turned on.
Under Devices, look for Brother QL-820NWBxxxx, like “Brother QL-820NWB1234.” Select this printer and ensure the status changes to Connected.
The series of 4 digits at the end of the device name identifies your specific printer. We recommend writing these digits on your printer.
Close the iPad Settings app and open the Envoy Visitors app.
Step 3: Pair the printer with Envoy
On your computer, log in to Envoy, and go to Visitors > Devices > Printer.
Select the Brother QL-820NWB and Bluetooth as a connection option.
The printer should automatically connect, since it’s already connected to the Visitor’s kiosk. Envoy dashboard is “told” by the iPad app that the printer is paired.
Confirm Envoy shows the printer as Connected.
Note: To connect additional printers via Bluetooth, you do not need to go through the steps described above. After pairing the iPad with the additional printer via Bluetooth, you will pair the iPad to the dashboard and the printer will automatically be added and visible on the dashboard. Tip: If this pairing method does not work, try this Alternate Bluetooth connection method.
Step 4: Enable badge printing
Note: If you have multiple visitor types, you’ll configure badge printing per visitor type.
Select the visitor type (sign-in flow) you wish to edit by clicking Edit.
Select Badge from the top navigation bar.
Toggle Badge printing to the on position.
Step 5: Test printing
Turn on your iPad.
Open the Envoy Visitors app, and tap the Tap to sign in button.
Note: If you have multiple visitor types, choose a visitor type that has badge printing enabled.
