How your team uses Visitors

Envoy Visitors impacts more than just account administrators, it will improve the visitor sign-in process for your whole team.

Your team interacts with Envoy both passively and actively. Below, we explain how your team uses Visitors to create great experiences.


Invite guests

  • Pre-Registration: With Visitors, it’s easy to invite guests in advance! If you intend to use this feature, your team can create invites for any expected visitor from the mobile app, web dashboard, Slack, MS Teams, and more. Learn more about inviting external guests to the workplace.

  • Invitation emails: After creating an invitation within Envoy, your guest can receive customized emails with all of their visit information included.

Easy Visitor Sign-in

  • iPad sign-in: Guests will be able to sign themselves in by using a Visitors Kiosk!

  • Dashboard sign-in: Admins can manually sign in visitors via the Visitor or Invites log.

Get notified

  • Host notifications: Your team is probably used to a receptionist or office manager calling or messaging them when visitors arrive. With Envoy's host notifications, hosts will be notified automatically via their preferred notification method.

Employee permissions

Any employee in your directory can create their own login for the web and download the Envoy Mobile app.

Employees have permission to do the following:

  • View their visitors and sign them out

  • Create and edit invites

  • View the directory

  • Change their personal notification preferences

Employees will not have access to:

  • Other employees’ visitors or invites

  • Account or location settings

Exceptions

  • Employees assigned as assistants can see both their own visitors/invites plus the visitors/invites for their executive. Learn more about assistants.

  • Envoy administrators can switch between displaying their own visitors/invites or all visitors/invites.

How employees log in

Login via web

  1. Go to envoy.com and click “Log in” or visit dashboard.envoy.com.

  2. Enter the work email address that is in the Employee directory.

  3. Check your email inbox for the confirmation email, and click “Confirm your email.”

  4. Create a password when prompted.
    • The password must be 8 characters minimum, have 1 capital letter, and 1 special character.

Log in on our mobile app

  1. Download Envoy Mobile for iPhone or Android.

  2. Enter your work email when prompted.
    Note: If your company uses SSO to log in, you will be prompted to use envoy.com to login via SSO. You will not need to check your email inbox.

  3. Click "Scan QR code" on the app, check your inbox (on your computer), click "Confirm your email," and scan the QR code on the screen OR check your inbox (on your phone), and click “Confirm your email.”

  4. If prompted, choose the location(s) where you work.

  5. Choose your preferred notification methods.

  6. Add a photo.
