On-site Policy

Global admins can set an on-site policy to help keep track of occupancy and space utilization.

Overview

Admins can save time and effort by automating the tracking and reporting of on-site policies. A global on-site policy can be set to measure occupancy against attendance targets at the department or company level.

With HRIS data via CSV upload or integration, you can further customize your attendance credit rules and how your attendance analytics give credit for time off.

How to enable On-site policies

  1. Navigate to the Global Overview in your Envoy dashboard.

  2. Click Enable next to On-site policy.

  3. You can define a target for the entire company or per department (defined in the employee directory).

  4. Set a target frequency. This is the total number of days employees should be in the workplace.

  5. (Optional) Set Anchor days. These are the specific days of the week employees should be on-site.

    1. If you have fewer anchor days than your target frequency, the remaining days will be flex days. This means that if you require 3 days on-site, but only specify Tuesday and Wednesday as required, employees can choose which additional weekday works best for their schedule.

  6. (Optional) Set HRIS attendance credit rules by defining how PTO and work-from-home status affect policy adherence.

    1. You can give credit for Work from home and/or Time off days.

    2. You can be specific about which days receive credit. For example, you can have WFH days count towards flex days, but not anchor days.

  7. Click Save.

Attendance simulator

To better understand how Envoy calculates on-site adherence, you can use our interactive attendance simulator! This simulator does not affect any live attendance data and is only used for testing purposes.

  1. Navigate to Global overview > Analytics > Settings, then click Edit next to On-site policy. Click on Show attendance simulator.

  2. The attendance simulator will reflect the policy set above. To make changes, just edit your target frequency and/or anchor days. It might take a few seconds for the simulator to update.

  3. Clicking on each day will allow you to change the status. Select between On-site, WFH, Time off, or Not on-site.

  4. The Attendance count and Aherence will update with the new totals.

  5. You can hover over each day for an explanation of the status.

How the On-site policy is used

Occupancy Analytics

In the Occupancy dashboard, admins can see the performance of employees against the set target.

By clicking View details, the data is broken down by department.

Attendance reports

You can easily view which employees adhere to required on-site days in easy-to-use Attendance Analytics.

The report shows whether or not an employee is on-site for the target number of days on the Weekly, Monthly, and Total views.

FAQ

  • Can onsite policy be set by location?

    • No, at this time, onsite policy is a global setting.

  • If you do not see Occupancy analytics per Department, be sure to set up your directory to include departments for your employees. This can be done via SCIM or CSV upload. See this article for more information.
