CSV Upload of Attendance Data

Learn how to populate your attendance report with external data from your HRIS.

Overview

With Envoy's Employee Attendance report, workplace admins and managers can view the onsite data collected via Workplace check-in. To enrich this data, Global admins can add PTO data from their HRIS system. This can be done via HRIS integration or by importing a CSV.

Once the data is processed, the PTO data will populate on the report, giving admins a complete picture of their employees' attendance patterns. The source will be listed as HRIS CSV Upload.

Required CSV format

You can use a text editor or spreadsheet software to create the CSV. Either way, the employee details must be listed in the proper order.

How to upload

  1. Navigate to the Global Overview, then Analytics > Settings

  2. Locate Upload HRIS data from other sources, then click Manage.

  3. Select the file you want to upload.

  4. Map the corresponding Envoy fields to your CSV columns. This ensures that the data is sorted into the correct places.

    1. Email Address

    2. Start date: The beginning of a leave period

    3. End date: The end of a leave period

      1. Date format: MM/dd/yyy, yyyy-MM-dd, yyy-dd-MM, MM-dd-yyyy, dd-MM-yyyy

    4. Leave Type: Envoy only uses two categories to classify leaves, PTO or WFH. If you don't use WFH, please leave this category blank!

    5. Status: Approved or Canceled/Deleted

  5. Once all fields are mapped, click Upload. The upload will begin.

  6. Lines with "Canceled" statuses will be removed from the data and not imported into Envoy.

  7. Any upload failures will be listed under Error Details.

  8. If you need to upload another file or retry a failed upload, just click Upload another file.

After the successful upload, it may take up to 2 hours to show in your analytics data.

Statuses in Attendance by Employee

Once the upload is processed, your Attendance by Employee report will show the updated data.

If you have an onsite policy enabled, approved PTO days will count towards this. If you have mandatory days set, PTO days only count if they fall on those days. They will not count towards Onsite days.

Example:

Glacier's Envoy Onsite policy is set to 3 days per week for all departments. These days can be any day during the week.

Hassan, an employee on Glacier's legal team, was in the office one day and took three days off the week of 7/27.

In Envoy's Attendance by Employee report, his total attendance days are 4, and his Onsite days are 1. He is compliant with Glacier's policy.
