Allow employees designated as assistants to manage reservations for anyone at the company.

Overview

Any employees who are marked as assistants within your Envoy employee directory have access to our delegated scheduling functionality for anyone at your workplace. This means your executive assistants (EAs) can easily manage the schedule of any employee (including busy executives) directly through Envoy. This includes scheduling a day in the office and making edits to upcoming office reservations.

Enable EA Delegated Scheduling

Step 1: Assign as an Assistant

We currently offer three methods for assigning an assistant:

Step 2: Toggle On the Setting for EA Delegated Scheduling

  1. From the left hand side menu of the Envoy dashboard go to Workplace > Settings > Employees & toggle on Allow assistants to manage reservations.

That's it! Assistants can now create and edit reservations for anyone at this location by using the Employee log. Assistants cannot check employees in.

FAQ

  • Assistants will have the option to automatically assign desks. These assignments follow the rules of your workplace map - taking neighborhoods and seating charts into account when assigning desks. If the employee does not have a neighborhood or permanent desk, the desk will be assigned at random. Assistants cannot change the desk assigned.

  • When editing an existing reservation, only the date can be updated.

  • Envoy sends out mobile push notifications when an edit to an existing reservation is made or a reservation is deleted. This notification will not be sent if the employee has disabled push notifications.
