Steps to configure your Properties, Suites, and Tenants

Learn how to setup your Envoy Connect account and create properties, suites, floors, and tenants.

Properties

A "property" within Envoy Connect refers to the physical building that your tenants occupy.

Creating a property

  1. Navigate to your Envoy Dashboard.

  2. Under your location picker in the top left corner, select Connect Overview.

  3. Click on Properties > Add property.

  4. Fill in the required property information such as name and address.

  5. Upload an image of your property.

  6. Click Create to create the property.

Editing a property

  1. Click View on the property you would like to view.

  2. Go to Settings > Profile and make the changes you would like to make and hit Save.

    Note: You can also click on the vertical ellipsis on the property and select Edit to edit the property.

Deleting a property

  1. Click View on the property you would like to manage.

  2. Go to Settings > Profile.

  3. Click Delete Property at the bottom right side of the page.

    Note: You can also click on the vertical ellipsis on the property and select Delete to delete the property.

Suites

Within Envoy Connect, "suites" represent the suites that your building has. After creating a suite, you can add your tenants' details.

Creating a suite

  1. Click View for the property you would like to manage.

  2. Navigate to Settings > Suites.

  3. Click Add Suite.

  4. Enter Suite name and click Create.

    1. The suite name is NOT the name of the current tenant.

    2. Add Area of the suite in square feet.

    3. Add the Floor the suite is on (optional - more information on this below).

    4. To create multiple suites, click Create and add another.

Editing a suite

  1. Click View for the property you would like to manage.

  2. Navigate to Settings > Suites.

  3. Click on the pencil icon next to the suite name.

  4. Update the Suit name, Area or Floor and hit Save.

Deleting a suite

  1. Click View for the property you would like to manage.

  2. Navigate to Settings > Suite.

  3. Click on the trash icon next to the suite name.

  4. Confirm you would like to delete the suite and click Delete.

Floors

By having floors organizing your suites, you can track your space utilization.

Creating a floor

  1. Navigate to Connect Overview > Properties and View the property you would like to edit.

  2. Navigate to Settings > Floors.

  3. Click Add floor.

  4. Enter the floor name.

  5. Repeat as needed.

Ordering your floors

The bottom floor should appear last on your list of floors, and the top should be first. You can use the toggle on the right hand side of the screen to drag and drop floors to arrange them.

Tenants

Tenants are the companies that currently occupy your suites. Your tenant settings allow you to connect these companies to your property, creating a unified visitor experience.

Adding and connecting tenants

Add tenants to your Envoy dashboard and then invite them to connect their account to your property.

  1. Click View for the property you would like to manage.

  2. Click Add tenant.

  3. Enter the Tenant name, select a Suite, and add expected number of employees. Optional: add additional information such as Lease expiration date and annualized rent.

  4. Click Create and continue.

  5. On the next window, you can invite the tenant to connect.

  6. Input the Email Address and Name for the Tenant.

  7. Click Send invite.

  8. This will send an email to the tenant with a unique link to sign up/login and connect to your property. Email invites expire after 7 days but you can always re-send the invite.

Tenant Email

  1. Once you invite the tenant, they will see the following email:

  2. This will prompt the tenant to create an account if they don't already have one.

  3. Once the tenant logins to their Envoy dashboard, they will be prompted to connect their account to your property.

Re-Sending Tenant Invites

If needed, you can always re-send an invite to your tenants from the dashboard.

  1. Click View for the property you would like to manage.

  2. Navigate to Settings > Tenants.

  3. Next to the tenant's name, click Invite Tenant.

  4. Input the Email Address and Name for the Tenant.

  5. Click Send invite.

Generating Connection Tokens

If you are unable to send an email invitation to your tenant, you can also generate a connection token for them.

  1. Click View for the property you would like to manage.

  2. Navigate to Settings > Tenants.

  3. Next to the tenants name, click the vertical ellipsis

  4. Click Generate token. (Tokens expire after 7 days)

  5. Send that token to your tenant so they can connect to your property.

Editing Tenants

  1. Click View for the property you would like to manage

  2. Navigate to Settings > Tenants

  3. Click on the vertical ellipsis and select Edit

  4. Make the changes and hit Save

Deleting Tenants

  1. Click View for the property you would like to manage

  2. Navigate to Settings > Tenants

  3. Click on the vertical ellipsis and select Delete

  4. Confirm you would like to delete and click on “delete”

Disconnecting Tenants

  1. Navigate to Connect Overview > Properties

  2. Click View for the property you would like to manage

  3. Navigate to Settings > Tenants

  4. Click on the vertical ellipsis and select disconnect for the tenant you would like to disconnect from your property

  5. Confirm you would like to disconnect by clicking on Disconnect
