How delivery notifications work
With Envoy Deliveries, you can automatically notify recipients when their deliveries arrive. To do so, Envoy needs to “know” two pieces of information: First, which employee is the delivery for? And second, what is that employee’s contact information?
When you snap the photo to record any delivery, Deliveries “reads” the shipping label and identifies the recipient’s name. If that name matches an employee in your directory, the recipient will be notified automatically.
An Envoy Location or Global admin must populate the directory before using delivery notifications. Learn more about the employee directory.
Benefits of delivery notifications
Save the time it takes to call or track down recipients when their deliveries arrive.
Photos appear in delivery notifications, so knowing which delivery to look for is easy.
Deliveries do not linger as long. Faster pick-up times mean less storage space is required.
Since all notifications are automated, no one on the administrative team needs to feel like they’re pestering their colleagues with constant reminders.
If a delivery arrives for a recipient with an assistant assigned within Envoy, the notification will automatically go to the assistant instead of the recipient.
Notification methods
Delivery notifications can be sent via email, Slack, and Microsoft Teams.
Notification delays
Depending on how many deliveries typically arrive at once, it may be helpful to delay your notifications.
Imagine fifty deliveries all showing up at once, and you start recording them with your Envoy mobile app. Without notification delays, each notification gets sent right when you log the delivery. In this scenario, recipients could come to collect their deliveries before you’re done recording and organizing all the remaining ones.
Notification delays give you a buffer to sort, record, and organize your delivery area. If you delay notifications, you can do so in 15 minutes, an hour, or a day.
Snooze
As an administrator, have the option to allow your team to snooze delivery notifications. With this feature enabled, a “Snooze” button will appear in all delivery notifications.
When a recipient clicks the “Snooze” button in a notification, all notifications from that delivery area will be paused for one week. This includes new delivery notifications and reminder notifications.
Since recipient snooze their deliveries per delivery area, they will still receive notifications from any other delivery areas (unless they snooze those, too.)
This isn't mine
When an employee clicks the This isn't mine button, Envoy will email the administrator who scanned the package to let them know, as well as mark the package as unidentified in the delivery log.
This should help keep your mail room as empty as possible, with packages getting assigned to the right people, and keep your delivery logs accurate for reporting purposes.
Notification schedule
Admins can choose to customize your delivery notification schedule per delivery area. This way, delivery notifications will only be sent during your preferred time of day. The schedule you set is up to you. Choose your business’s office hours, or set customize the notification schedule to match when your mailroom is unlocked.
By default, the notification schedule is set for weekdays, 8am-6pm, in the local time for the delivery area.
If you record deliveries after hours, the notifications get delayed to the next notification period.
Alternatively, you can select to send notifications 24/7. This option sends delivery notifications when the delivery is recorded—no matter what time of day or night.
Delivery notification messaging
You can customize the text that appears in notifications, and you’ll do so per delivery area. You can add in custom variables to automatically include the recipient’s name, delivery area name, carrier name (like UPS or FedEx), and date received.
This is especially handy if you have multiple delivery areas since you can add in the delivery area name and specific instructions to access that delivery area. This way, each recipient will know where their package is stored and how to retrieve it.
Setting up delivery notifications

Enable or disable delivery notifications
Locate Delivery notifications.
To enable, toggle to the on position.
To disable, toggle to the off position.
Change notification methods
If you have multiple locations using Deliveries, each location can have different delivery notification methods, but each delivery area within the location will have the same methods.
Email notifications
Locate Email notifications and toggle it to the on position.
Slack notifications
First, check to see if the Slack integration is installed for your company
Go to Apps > Installed apps
If you see Slack listed, you have it installed!
If the integration is not listed, please follow the Slack integration guide now.
Then, enable Slack delivery notifications:
Locate Slack notifications and toggle it to the on position.
Note - for preview images to load correctly, please check that you can Show images and files from linked websites. This is located in your personal Slack preferences.
Microsoft Teams notifications
First, check to see if the Microsoft Teams integration is installed for your company:
Go to Apps > Installed apps
If you see Microsoft Teams v2 listed, you have it installed!
If the integration is not listed, please follow the Microsoft Teams integration guide now.
Then, enable Microsoft Teams notifications
Locate Microsoft Teams notifications and toggle it to the on position.
Enable or disable notification delays
Delaying notifications gives you time to get organized before recipients come to pick up their deliveries. We recommend delaying notifications by 15 minutes, but you can set your preferred delay.
Under Advances, locate Notification delays.
Choose your preferred notification delay by using the dropdown.
No delay: Notifications are sent as soon as delivery is logged
15 minutes: Notifications are delayed by 15 minutes (recommended)
1 hour: Notifications are delayed by 1 hour
1 day: Notifications are delayed by 1 day
Enable or disable snooze
With this feature enabled, recipients can click the Snooze button in delivery notifications to pause notifications per delivery area for one week.
Select the delivery area you wish to edit.
Select Notifications from the top navigation.
Locate Snooze notifications.
To enable, toggle to the on position.
To disable, toggle to the off position.
Customize notification schedule
Customize your notification schedule and send delivery notifications during your preferred hours.
Note: All notification periods reflect the local time for the delivery area, based on your location's address.
Select the delivery area you wish to edit.
Select Notifications from the top navigation.
Locate Notification schedule, and click Edit.
If you’d like to set certain hours per day, select Set schedule by day.
If you’d like to disregard notification periods and send notifications anytime, select Allow notifications 24/7.
Click Save after making any changes.
Clicking Reset to default will reset the schedule to weekdays, 8am-6pm.
Customize the Delivery notification text
The notification text can be customized per delivery area. This is great for any delivery area needing a key or code. Here’s how:
Select the delivery area you wish to edit.
Select Notifications from the top navigation.
Locate Delivery notification message.
Edit your notification message as desired. You can customize both the subject line and body of the message.
For Slack and Microsoft Teams, only the Subject will be displayed in the notification. The Message will only display in the email notification.
Using variables in the Delivery notification text
You can use custom variables to automatically populate the recipient’s name, location name, delivery area name, and carrier name (like UPS or FedEx).
In your settings, variables appear purple but will appear as normal text in your delivery and reminder notifications.
Click your cursor where you’d like to insert a variable.
You can add variables in both the subject and/or the message.
Locate Variables and click the dropdown.
Choose the variable you’d like to insert. It will appear in your message.

How reminder notifications work
Reminder notifications automatically follow up with recipients when they don’t pick up their deliveries and look identical to delivery notifications. They’re simply additional follow-up notifications. You’ll select if you want reminders sent daily, every other day, or weekly. Plus, they’re always sent based on your notification schedule.
Benefits of reminder notifications
Reminders keep deliveries from lingering. Faster pick-up means you need less storage space.
Saves you from calling and tracking down recipients when they need a reminder.
Reminders are sent automatically, which saves you from continually taking inventory of what’s in your delivery area.

Edit reminder notification settings
Locate Reminder notifications.
Click the dropdown.
Choose how frequently you’d like to send reminders.
Off: Reminder notifications will not be sent
Daily: Reminder notifications sent every day until it’s marked as “picked up”
Every other day: Reminder notifications will be sent every other day until it’s marked as “picked up”
Weekly: Reminder notifications will be sent weekly on the same day of the week the delivery was logged (i.e. every Tuesday) until it’s marked as “picked up”
Resending notifications
You can resend notifications for any delivery from mobile or web. When you choose to resend a notification, the recipient will receive it right at that moment—even if it is outside your notification schedule or if their notifications are snoozed.
This feature is perfect for urgent deliveries, bulky deliveries that take up space, or deliveries that have simply lingered too long.

Resend notifications for multiple deliveries at once from the web dashboard.
Resend notifications from web
Go to the Deliveries > Delivery log.
Select the delivery or deliveries you’d like to resend notifications for.
Click Resend notification.
If you select a package that has already been Picked up, the Resend notification button will not appear. If you need to Mark as not collected click on the package itself, then click the ellipses (...), and Mark as not collected.
Resend notifications from mobile
From the delivery log in your Envoy mobile app, follow these steps:
Go to Deliveries
Click on the delivery you want to resend the notification for
Click Resend notification
