Recurring invites

Learn how recurring invites work, their limits, and how they interact with approvals, QR codes, the Visitor Directory, and other Envoy features.


Overview

Contractors, consultants, auditors, and regular vendors often visit on a predictable schedule. A recurring invite lets you register that visitor once for the whole schedule instead of creating a new invite for every visit. Each visit is still tracked individually, so your logs, approvals, and exports stay accurate, and the series has a defined end date so access doesn't quietly continue after the scheduled visits end.

How recurring invites work

A recurring invite is a series of linked invites for the same visitor. Envoy creates a separate invite for each date in the series, and each one appears on its own date in Visitors > Invites. Because the invites are linked, you can edit, delete, or approve them together or one at a time.

Repetition intervals

When creating an invite, set Repeat to one of the following:

  • Daily

  • Weekly on that specific day

  • Monthly on that specific day

  • Annually on that specific day

  • Every weekday (Monday to Friday)

End dates

Every recurring invite requires an End date. You can choose a custom date or one year from the start date.

Note: Recurring invites created before June 2025 may have an end date of "Never." These invites end one year after their creation date and can't be extended. To continue the visits, create a new recurring invite.

Limits

Single recurring invites

  • Maximum length of 1 year

  • Can be created on the web dashboard only

Group recurring invites

  • Maximum length of 3 months

  • Maximum of 50 guests

  • Sign-up link (self-registration) not available

Editing and deleting a series of recurring invites

When you edit or delete an invite in a series, Envoy asks which invites the change should apply to.

Single recurring invites

  1. Click the visitor's name to open the invite.

  2. Make your changes and click Save, or click Delete.

  3. Choose the scope:

    1. Editing: apply the change to this invite only, this and following invites, or all invites in the series.

    2. Deleting: delete this day's invite only, or this invite and all future invites in the series.

  4. Optionally, you can email your visitor to let them know about the change.

Recurring group invites

Updating a group invite follows the same pattern as a single invite, shown above.

Choose which invites to update:

  • This group invite: only the date you're editing.

  • This and following group invites: the date you're editing and every date after it.

  • All group invites: every date in the series, except dates that have already passed.

Note: You can't delete invites that have already been signed in.

How recurring invites interact with other features

Invite Approvals

When Invite Approvals is enabled, recurring invites go through review like any other invite. The visitor doesn't receive their invite until it's approved. Because these invites are linked in the system, you only need one approval, and the visitor can visit on all future planned dates. If you edit an approved invite, it must be re-approved.

Approval Workflows

Just like with invite approvals, an invite using an Approval Workflows policy, you only need to approve a recurring series once. Approving it approves every linked invite in the series. If any invite details change afterward, the invite goes through the approval process again.

QR code passes

A visitor with a recurring invite receives one QR code for the whole series and reuses it for each visit. For example, a visitor invited daily from July 1 to July 10 gets one QR code that works for one sign-in each day through July 10. Each day's code is valid for the entire day of that visit, not just the invited time.

Encourage visitors to save the QR code to Google Wallet or Apple Wallet so they can find it easily each day.

If a visitor signs in without scanning their QR code, Envoy may not match the sign-in to their invite and will record it as a new entry.

Multiple hosts

Multiple hosts are not available for recurring invites. A recurring invite can have one host.

Visitor Directory

The Visitor Directory shows recurring visits on the visitor's profile.

  • In Upcoming visits, recurring invites are marked with purple arrows. Dates and times are shown in the location's local time zone.

  • The Upcoming visits count includes every remaining invite in the series, including pending invites.

  • If the visitor misses a date in the series, that invite is marked No show.

Exports

Visitor and invite exports include a Recurring invite end date column, which helps audit which visitors have ongoing access scheduled. See Exporting visitor data.

Calendar integrations, Slack, and mobile

You can create recurring invites only on the web dashboard. Invites created from Google Calendar, Outlook, Slack, or the Envoy mobile app are single invites, even if the calendar event itself repeats.

Monitoring recurring invites

Admins can use the Visitor Directory to find recurring invites. You can also filter to see ones nearing their end date, so hosts can extend them before a visitor arrives without an invite.

  1. Select Recurring only from the Invite type filter.

    1. You can use the Recurring invite filter to set an expiration date: Expiring in 30 days, Expiring in 60 days, Expiring in 90 days, or Expired.

  2. To extend a series, open the invite and edit the End date.

FAQ

Can I turn an existing single invite into a recurring invite?

  • No, you cannot convert a single invite into a recurring invite. You can easily create a new recurring invite by using the Reinvite function in the invite log.

Can I create a recurring invite longer than one year?

  • No. Single recurring invites can run up to one year. To continue visits after that, create a new recurring invite.

Does the visitor have to pre-register for every visit?

  • No, visitors only need to register once. Their information will be valid for the duration of the series and they can use the same QR code pass to sign-in.
