Walk-up Visitor Approvals

Strengthen your visitor screening process by requiring authorization for unexpected visitors.

Overview

There are many ways to sign-in as a visitor with Envoy! Visitors are generally grouped into two types: Walk-up and pre-registered. Walk-up visitors are those who are not invited and simply show up at the kiosk. As the standard setting, walk-up visitors will not require approval from an admin. By requiring approval, you can limit the number of unexpected guests in your workplace.

Enable or disable Approval required for Unexpected Visitors

  1. Locate Approval required for unexpected visitors. This applies to walk-up visitors to the kiosk or Static QR codes.

  2. Click Enable, then Save. Front desk admins at this location will be notified via email to approve or deny the kiosk walk-in visitor.

    1. The entry in the visitor log will show the option to approve or deny.

  3. Optionally, you can allow hosts to approve their uninvited visitors via slack, instead of front desk admins. If this feature is enabled, the host will get a slack message with the visitor details to approve. The host's response is then sent to the front desk admin(s) via Slack

  4. Once approved or denied, the visitor's entry will be updated to show approval history.

Multiple Approvals required

There are a few settings and integrations that will initiate an approval process: Invitation approval, Visual Compliance, ID Scanning, Block list, and more.

If multiple features catch an entry attempt, a visitor will require multiple approvals.

Once actions are taken, the Approval History will be updated to specify who approved each module.

By default, only Location and Global admins will have access to approve and deny entries. If you want to assign someone to approve/deny visitors, but don't want to grant these elevated permissions, consider creating a custom admin role!
