Visitor Entry History log

Learn how to keep track of changes by using the History log within a visitor's entry.


Overview

The History Log gives admins a single, immutable record of everything that happened during a visit, who changed what, when they changed it, and the approval decisions made along the way. Use it to investigate a visit, build evidence for an audit, or confirm that an approval policy was followed end-to-end.

What the History Log captures

Each entry field change is timestamped and attributed to a specific user or system action. These changes cannot be edited or deleted.

The History Log records:

  • Invitation or sign-in creation: Who created the invite or entry? This could be an admin, an employee, or the visitor themselves at a sign-in kiosk.

  • Field changes: Edits to invite fields and policy fields, including the before and after values.

  • Approval decisions: Approvals or denials taken at each step of the approval flow, including walk-up approvals, invite approvals, rule-based approvals, visitor screening decisions, and blocklist matches.

  • Approval comments: Any rationale or screening reason an approver adds when making a decision using Advanced Visitor Approvals.

Using the History log

The History log is located in the right-hand side of any entry or invite.

  1. Select the visit or invite you want to review.

  2. In the side panel of the entry or invite page, locate the History Log section.

Each change is grouped by the action taken: Sign-in, pre-registration, invite creation, and approval/denial. You can expand each step to view details by clicking on the caret .

Advanced Approvals

Approval activity is rolled into the same log as field changes, so you can see the full lifecycle of a visit in one place. Each approval entry shows:

  • The approver and the approval step

  • The decision (approve, deny, or hold), shown with a check or marker

  • Any comments the approver added

FAQ

Who can see the History log?

  • Global, Location, and Front desk admins can view the history log for any entry.

  • Custom admins with the View all visitor entries and/or View all invites permission can open the History Log for any visit in their assigned locations.

  • Hosts and inviters can open the visit and entry detail pages for visits they're tied to, and will see a subset of the History Log in accordance with what they're permitted to view.

    • Note: Some entries (such as full data collection fields and approver-only comments) are restricted to admins with the appropriate permissions. Hosts and inviters will see high-level approval status without the underlying comments or sensitive field values.

Which invites/entries will have the History log?

  • The History log applies to invites created on or after the launch date, April 29, 2026. Visits tied to invites that were created before the launch date will not display a History log, even if those invites are still active. This includes recurring invites set up before launch; future occurrences of those invites will not have a History log either. To begin capturing History log data for an ongoing recurring visit pattern, recreate the invite.

Can the History log be exported?

  • At this time, the History log can only be viewed within Envoy and cannot be exported. For bulk exporting visitor data, learn more about Scheduled data exports.
