Overview
With Envoy's Analytics Reports, you can send Envoy data as visual dashboards or raw data to others in your organization, helping teams make more informed decisions about staffing, security, real estate, and more. You can also create recurring reports, providing stakeholders with automated updates on visitors and employees.
Creating a scheduled report
Navigate to Analytics > Reports, then click Create a New Report.
Select the dashboard you want to create your report or export data from. You can choose from an existing dashboard or one of your custom reports.
Give your report a unique name.
Enter the email addresses you want to send the report/export to. This person does not need to be an admin, but they do need to be in the employee directory.
By default, the report will send now, and not repeat. Click Edit to set a schedule.
Set which days to Include in the report.
Include: Today, Past 7 Days, Past 30 Days, Past 60 Days, Past 90 Days, Month-to-date, Year-to-date, Next 7 Days, Next 30 Days, or All time.
Due to their non-standard nature, custom dashboards will not have this option. Jump to: Exporting Custom dashboards.
Select between PDF, Excel, and CSV.
PDF: Presents the report in a visual format, consistent with what is displayed in the online dashboards.
Excel: Provides aggregated data underlying the online reports, ideal for further analysis or sharing.
CSV: Delivers the raw dataset for maximum flexibility and custom data manipulation.
Click Schedule Report to schedule.
Once your report is scheduled, it'll appear under Analytics > Reports > Your Reports. All Location and Global admins will see the reports created for their locations.
Deleting and editing a report
No longer want to receive your report? Just click on the ellipses the right-hand side. Then select the delete action.
Confirm the deletion by clicking Delete. This report cannot be restored once deleted.
By selecting Edit, you're able to make adjustments to the newly created report. Click on the ellipses on the right-hand side of the report, then click on the Edit action.

Custom dashboard reports
When creating a report based on a custom dashboard, date ranges must be defined on the custom dashboard itself.
Date ranges are control elements that can be applied to any or all of the data elements shown on your custom dashboard.
The report or data exported will respect the custom dashboard's date filters relative to the Send date.
An example: A custom report (shown above) has a date range of the Last 30 days, including today. The admin sets the send date as Monday, September 29, 2025.
The first report will be sent on 9/29, including data from 8/30 - 9/29. The next report will be sent on 10/6, including data from 10/6 - 9/6.
Any scheduled report will be affected if an admin edits the custom dashboard and publishes a different date range.
Scheduled data exports via Custom Dashboards
If you need to export a large amount of data from Envoy, you can create a custom dashboard defining the data! Once the dashboard is created, you can set an instant and/or recurring export of that data to an xslx file.
For example, below is a dashboard consisting of the Desk reservations table, with only 14 columns shown, and the column order rearranged. The date range on the report is set to the Last 90 days.
A new Excel report is created based on this custom dashboard.
When received in an Excel report, the data will be presented in a table format.
FAQ
What does the report look like?
For a PDF, the report is a copy of the dashboard selected, with filters applied according to the date range chosen when configuring the report. It is sent via email as an attachment.
The appearance of an Excel report depends on the report. Single-table reports will be exported as a dataset (shown above under scheduled data exports), while rich dashboards will mirror their appearance in the Envoy dashboard. Each dataset will have its own "page" within the Excel report.
A CSV (Visitors Invites and Entry data only) will show the raw data.
