Scheduled Reports

Learn how to automate report exports via email.

Overview

With Scheduled reports, you can send Envoy data as visual dashboards to others in your organization, helping teams make more informed decisions around staffing, security, real estate, and more.

Creating a scheduled report

  1. Navigate to Analytics > Reports, then click Create a New Report.

  2. There are a few different options now. You're able to perform a data export. Like the previous scheduled reports, you'll want to select the data set that you're wanting to export, by selecting an existing dashboard.

  3. Give your report a new name.

  4. Enter in an email address that you're wanting the exported data to be sent to.

  5. Select the send date, the repeat option, the time, the time zone, and whether or not to include the day of in the report.

    1. (Repeat option) choices: Daily, Weekly on [weekday], Monthly on [day] of the month, Annually on [Current day], or Every weekday.

    2. Optional messages can also be included

  6. Select between PDF, Excel, and CSV.

    1. PDF: Presents the report in a visual format, consistent with what is displayed in the online dashboards.

    2. Excel: Provides aggregated data underlying the online reports, ideal for further analysis or sharing.

    3. CSV: Delivers the raw dataset for maximum flexibility and custom data manipulation.

      1. PDF and Excel formats are available for pre-created dashboards

      2. CSV is only available for Entries and Invites and it will be visible if you pick Location Visitors option from the dropdown

  7. Lastly click Schedule Report to schedule.

Once your report is scheduled, it'll appear on the "Your Reports" tab. And all Location and Global admins can see it listed on the Your reports page.

Deleting and editing a report

No longer want to receive your report? Just click on the ellipses the right-hand side. Then select the delete action.

Confirm the deletion by clicking Delete. This report cannot be restored once deleted.

By selecting Edit, you're able to make adjustments to the newly created report. To perform that click on the ellipses on the right-handed side of the report. Then click on the edit action.

Important note: You're only able to edit the following fields.

  • Report name

  • Recipients (sent to field)

  • Send date

  • Repeat option

  • Time/Time Zone

  • Inclusion day

  • Optional message

  • Report type

FAQ

What does the report look like?

  • The report is a copy of the dashboard selected, with filters applied according to the date range chosen when configuring the report. It is sent via email as an attachment.

Can you customize the text in the email?

  • At this time, the email's body is not editable, though the email's title will match the report's title.
