Plan different scenarios by drafting changes in Envoy's Map Drafts.

Overview

Workplace admins can create and name multiple Workplace Map drafts to experiment with various workplace layouts, seating arrangements, and resource placements. Admins can share map drafts with other Envoy users, regardless of their admin status. When a draft is ready to be implemented, admins can easily review and publish it, saving valuable time and streamlining the move process.

Create a Draft

  1. To get started, go to Maps > Drafts from the left-hand side menu on the Envoy dashboard & select Create Draft. This will make a copy of your live map as the starting point.

  2. At the top left-hand corner, next to the pencil icon, click into the text box labeled Untitled draft and enter a name for your draft.

  3. Now, you can proceed with making edits to the resources on your map.

  4. When you are ready to save your draft, select Save Draft at the top right.

  5. Any changes made to your draft will not reflect on your live map until published.

Note multiple drafts can be created per location and each draft will encompass all of your floors from your live map.

Edit a Draft

  1. Navigate to Maps > Drafts.

  2. You will be brought to the Drafts tab's landing page, which displays details such as your draft name, the creation time, the name of the admin who created the draft, and the last admin who edited it.

  3. Select Edit Draft to start making changes.

Share a Draft

You give view-only access to other Envoy users, making collaborating easy! These users do not need to have admin roles assigned, but they must be in the employee directory.

  1. Navigate to Maps > Drafts and click Edit draft.

  2. Once you're in the map editor, click on Share.

  3. You can add individual employee access under People who can view this draft.

    1. By default, Send email notification will be checked, and an automatic email will be sent when the draft is shared.

  4. Once an employee is added, they can access the map draft via a link with the View only setting.

    1. To allow general access to anyone with the link, change the access setting to All employees with the link.

  5. To remove an employee's access, click the X next to View access.

  6. If you save new changes to your draft after sharing, you won't need to re-share the link - instead, Envoy will automatically show the latest version when the link is clicked or the page is refreshed.

Viewing a draft

Non-admin employees will not see the Drafts page under the Maps menu on the left-hand side menu. Instead, they can access the draft directly via the link!

Clicking on the link will bring the employee to a view-only draft version.

Employees can navigate to different floors, see desk details, and display neighborhood overlays. They will not be able to make edits to the map.

Update Draft Name

  1. Go to Maps > Drafts from the left-hand side menu on the Envoy dashboard.

  2. On this landing page, you will see your existing draft. Select the ellipsis to the right and choose Rename draft.

  3. Type in the new name and click Save. Your new draft name will now reflect under the details.

Publish a Draft

  1. Go to Maps > Drafts from the left hand side menu on the Envoy dashboard.

  2. Select Edit draft > Publish.

  3. You will see a prompt noting that publishing the draft will override the existing resource details including placements and seat assignments. In addition reservations on deleted desks will also be removed.

  4. Click Publish. Your draft is now your live map and you are free to start a new draft if you wish.

Delete a Draft

  1. Go to Maps > Drafts from the left hand side menu on the Envoy dashboard.

  2. From here select the ellipsis on the right and click Delete draft > Delete.

Map Overview

The Map Overview panel gives you a list of resources that you have available, including desks, rooms, and points of interest.

Employee Lists

Admins can easily reference all of their employees when creating and editing workplace map drafts.

  1. Once in edit mode, select Manage Seating.

By default, unassigned employees will appear first. If you have departments assigned to your employees, they will be filtered by department, allowing for better organization. Learn more about departments in our directory setup article.

Assigned Desks and Neighborhood Filter in Edit Mode

To provide an accurate picture of your space utilization and enable better planning capabilities, Envoy has made updates to how Desks and Neighborhoods are displayed in map draft mode.

Desks: We now show the profile photos or initials of assigned desks to easily distinguish between assigned, hotel, and blocked desks.

Neighborhoods: To decide which desks you want to view while editing your draft you can now filter by neighborhood.

FAQ

  • At this time we do not have an option to view or load previously created drafts that have either been published or deleted.
