Overview
Need a better way to manage parking? Envoy Workplace allows employees to reserve parking spaces through the map. By including parking in your workplace map, you can reduce confusion and ensure every part of the workday, starting with arrival, runs smoothly.
Setting up Parking
Add a floor with a Parking map
To set up parking, you'll need to have a map of your available parking spaces.
Navigate to Maps > Live Map, then click Edit map.
Click Create a new floor. (If you already have a floor created, click the floor name dropdown to see this option).
Give your floor a name and upload your map, then click Create
✨Tip: It's a good idea to include words like "Parking" or "Garage" in your floor name so employees know what to expect on the map✨
Add parking spots
There are a few different ways to add parking to your workplace map.
via List, One at a time
This method is recommended for parking spots where each spot has a different name without a clear mathematical pattern. For example, spaces could follow a "famous artists" scheme and use names like "Michaelangelo, Van Gogh, Kusama."
Navigate to Resources > All resources and select Parking.
Click on Add parking and select Create a list.
Click Add one at a time. Provide the required details.
Click Save or Save and add another to repeat.
Your new spot should be populated in your list of parking spots.
via List, Bulk
If your parking follows a numerical sequence (Parking 1, Parking 2, Parking 3, etc.), this is a fast method of adding new spots.
Navigate to Resources > All resources and select Parking.
Click on Add parking and select Create a list.
Add in bulk. Provide the following:
Number of spots: How many spots to add to your parking resources list.
Floor
Parking name: What you want to name your spots, sans any numbering.
Start sequence: The number you want start your parking spots at. For example, if you already have "Spot 1 - Spot 8" created, you would start your sequencing at 9.
Click Save to generate your spots.
via CSV
If you want to load all parking spots at once, CSV is a great option. Your CSV must follow the correct format and include column headers.
Envoy ID, Name, Floor name, Amenities, Assigned to
Just like with desks, uploading a new CSV will replace all current data with your CSV data. Make sure to keep this file up-to-date and inclusive of all spots you want included as a resource.
Navigate to Resources > All resources and select Parking.
Click on Add parking and select Import data. Drag and drop your file or click select a file from your computer.
Select your CSV and click Upload.
The CSV data will be shown in a preview. If everything looks good, click Import resources.
Your new parking spots will be uploaded and will replace any previous spots.
Placing on the map
Once you have your list of parking spots, you can place them on the map!
Navigate to Maps > Live map, then click Edit map. Navigate to Add resources, then select Parking.
Your list of pre-created parking resources should be displayed on the right-hand side. Click to select a spot, then click to place on the map.
Once you've placed the desks you want, click Save to publish your changes.
Creating desks via map placement
If you would rather create your spots by placing them on the map, you can skip creating lists or importing data. This method takes a bit longer, so it's only recommended for small workplaces.
Placing parking spots is just like placing desks. Navigate to + Add resources, then select Parking.
Once you place a spot, a parking details panel will open on the right-hand side. Here, you can permanently assign employees and assign amenities. This step is what creates the resource within Envoy.
After placing your parking spots or making changes, be sure to click Save. This publishes any changes to the Live map.
Parking settings
Adding parking amenities
If your parking spaces offer different amenities or restrictions, it's important to add them to your Envoy map to help employees pick the best spot. Some examples of amenities include: Compact-Only, EV Charging, Accessible, and Covered parking.
Navigate to Reservations > All resource types, then click the gear ⚙️ next to Parking spots.
Next to Amenities, click Add amenity.
Click Create after naming your amenity. Amenities must be added one at a time.
Once created, you can add the amenity to applicable spots via the map editor, list creation, or CSV upload. There is no limit to how many amenities can be added to a single spot.
Reservation settings
Just like desks, you can customize how far in advance employees can reserve their parking spot. This limit is not connected to your desk booking settings.
Navigate to Resources > All resource types, then click the gear ⚙️ next to Parking spots.
Under Reservation settings, locate Advanced booking limit. Here, you can use the dropdown to select from the following: Today only, Today & tomorrow, 1 up to 12 weeks in advance, or As far as possible.
Once changed, click Save to apply.
Space saver
With Space saver, admins can ensure that the parking map is accurate to the current capacity. Parking spaces will be released for booking if employees have not checked in via Workplace by a defined time.
To enable:
Navigate to Reservations > Parking settings
Under Space saver, toggle Cancel on no show to On.
Change the time required to check in by using the dropdown. The default is 10:00 am.
