Occupancy Reports

Envoy's reports feature allows you to automate occupancy data, giving insight into your space and employee attendance.

Overview

While the occupancy dashboard allows admins to view employee-attendance data within Envoy, reports allow you to share data with relevant stakeholders via email. This is perfect for those who might not be admins within Envoy, but are invested in the data collected.

How it works

Global Admins can share a report of the data you have in the dashboard now or you can schedule the data to be sent out at a later date.

  • The Send Report option sends a report immediately showing the current analytics in the dashboard.

    • If you select Does not repeat, this report will only be sent once and will not show in the list of scheduled reports.

    • If you select repeat and set a cadence, this report will show under Analytics > Reports as a scheduled report.

  • The Schedule Report option will send a report at the time, date and frequency of your choosing. Important note: You can only schedule reports for in the future. Ensure that the scheduled time you have selected is not in the past. If you do select a time in the past, you may see the report in your dashboard but you will not be sent any data via email.

How to send/schedule reports

  1. Navigate to Analytics > Reports.

  2. Click on Create new report.

  3. Fill out the form. Report name and Send to are required.

  4. To send a report of the dashboard now, leave the send date as Now. Notice the report will say Share Report.

  5. To send a report for a future time, click Edit and set the date, time and frequency. Notice the report will say Schedule Report.

  6. Select the departments you want to pull data from.

  7. Select the date range.

  8. For the type, you can only send an image at this time.

  9. Select the embedded fields you want included in the report.

  10. Leave an optional message.

  11. You can click Sent test to me to receive a test email showing you what the report will look like.

  12. Click Share or Schedule report.

Weekly location occupancy report

For companies who have occupancy integrations set up, Envoy's weekly location occupancy report is automatically sent to location admins via email. This makes basic attendance data accessible from anywhere, from any device you can receive emails on.

Though this process is automated, you can choose to remove yourself from receiving the Weekly Occupancy Reports or to delete it all together.

How to remove yourself as a recipient

  1. Select Weekly Summary to edit the report.

  2. To remove yourself from the list of recipients, click on the x next to your email and then click on Save report.

How to delete the report

Note: Deleting the entire report will delete it for all active recipients of the report. This action cannot be undone.

  1. Select Weekly [Location] Occupancy Report to edit the report. This report will show Envoy under the Created by column.

  2. To delete the report for everyone, click on the Delete button in the bottom left corner.

  3. Confirm deletion.

FAQ

  • For scheduled reports, You can only schedule reports for in the future. Ensure that the scheduled time you have selected is not in the past. If you do select a time in the past, you may see the report in your dashboard but you will not be sent any data via email.

  • The time you pick for sending the report will match the time zone of the person who created it. So, if you set it for 10 am, it'll be sent at 10 am in their time zone.

  • Only Scheduled reports will be listed in the Reports section of the Occupancy Dashboard. Ad hoc reports, only sent once, will not show.
