CSV Upload of Occupancy Data

Learn how to import employee attendance data into Envoy's Occupancy dashboard from your Access Control or Wifi system.

Overview

Centralize your analytics in Envoy Workplace for easy data visualizations on how RTO and workplace policies are performing over time. In addition to access control and Wi-Fi integrations for occupancy data, admins can build a comprehensive view of onsite presence by uploading historical data via CSV to populate the occupancy dashboard. Uploading via CSV is flexible and accommodates any existing tech infrastructure and business processes because it works with any data source–including all access control systems.

CSV Format Requirements

To ensure a successful data upload, your CSV file must adhere to the following criteria:

  • List one record per row.

  • Contain header fields (header names can be anything).

  • Include employee email and entry date for each record.

  • Not exceed the max file size of 3 megabytes.

Upload Occupancy CSV File

Important Notes:

  • Uploading a CSV file of your occupancy data does not create employee entries and it will not impact your active user count.

  • In addition our system will not create duplicate occupancy data records. This feature works by checking if someone already has an entry for a specific day and if not, an occupancy data record will be created that will show up in the Occupancy dashboard.

  • It takes 2 minutes on average for the upload process to complete.

  • It takes roughly 1.5 hours after the upload is complete for the data to show up in the occupancy dashboard.

  1. Navigate to the location name caret at the top left of the Envoy web dashboard and select Global overview from the dropdown.

  2. Go to Analytics > Settings and under the section titled Upload occupancy data from other sources click Manage.

  3. This section will expand, under the Upload file tab select a file from your computer to upload.

    1. Please make sure your file meets our CSV format requirements listed here.

  4. After choosing your file designate which columns in your CSV that Envoy should use for the Email Address and Entry Time fields under the Occupancy dashboard.

  5. Next select the date format and timezone being used in your CSV.

  6. From here pick which location Envoy should upload your CSV data to under the drop down box for Select which location this data applies to.

  7. Click Upload to begin the upload process.

  8. While the upload is in progress, you will see a status bar indicating the percentage complete and a notice at the top right indicating you can navigate away without disrupting the upload.

  9. Once the upload is complete, we will send an email notifying you of the status: Upload successful or Requires attention. If the data upload is not successful, we'll include the details of which rows had errors. If no errors occur, a pop up notice at the top right of the Envoy dashboard will indicate the upload was successful.

  10. If there is an error during the upload process, our upload occupancy screen will say There was a problem uploading this file. Please try again.

  11. After making your corrections, click Restart to start the upload again.

View Past Uploads

  1. Navigate to the location name caret at the top left of the Envoy web dashboard and select Global overview from the dropdown.

  2. Go to Analytics > Settings and under the section titled Upload occupancy data from other sources click Manage.

  3. The section will expand, click on the tab named View past uploads.

  4. This page will detail:

    1. File name

    2. Upload date/time

    3. Location

Delete Occupancy CSV File Upload

Easily undo an upload to correct mistakes and remove the data from your Occupancy analytics dashboard.

Important: Deleting a CSV upload is irreversible and will erase the associated data from your Occupancy dashboard.

  1. Navigate to the location name caret at the top left of the Envoy web dashboard and select Global overview from the dropdown.

  2. Go to Analytics > Settings and under the section titled Upload occupancy data from other sources click Manage.

  3. The section will expand, click on the tab named View past uploads.

  4. Locate the file you want to remove and click Delete.

  5. A new window will pop asking you to confirm. Select Delete to proceed.

  6. After your file is removed, the occupancy dashboard data will update within minutes.

FAQ

  • There is no limit to how far back the occupancy data can be uploaded.

  • This feature will not override any data if you have an existing integration setup and already have data in the Occupancy dashboard. If an employee already has a checked-in reservation for a given date/time, any similar data from the CSV upload will be ignored.
