Overview

With Envoy Visitors, you can automatically capture a photo of every visitor. You can choose if you’d like to capture a new photo every time, or if you’d like to use photos on file for recurring visitors.

How visitor photos work

On the kiosk, a visitor will tap the Sign in button, and they’ll enter their sign-in details. They’ll be prompted to step into the frame when they reach the photo capture step. The photo is captured using the iPad’s front-facing camera, and visitors can retake the photo to ensure they’re happy with the result. When the visitor completes sign in, their photo becomes part of their visitor entry.

Visitors will also have the option to upload a photo during pre-registration.

Photos are displayed on your dashboard, in host notifications, and optionally on their printed badge.

Benefits of visitor photos

  • In case of a security incident, you can cross-check photos on your dashboard with security footage.

  • Having on-the-go access to each visitor’s photo can help your team identify signed-in guests in the case of emergency or evacuation.

  • Seeing the photo in a host notification helps you know who to greet when multiple visitors are in the lobby.

  • If you have multiple visitor types, you can configure photo settings based on Visitor type.

Enable or disable visitor photos

Tip: This will need to be done per visitor type if you have more than one.✨

  1. If applicable, select the visitor type you wish to edit.

  2. Select Photo from the top navigation.

  3. Locate Visitor photos.

    1. To enable, toggle to the “on” position.

    2. To disable, toggle to the “off” position.

Enable or disable “Use existing photos”

As an Envoy administrator, you’ll choose the photo settings for your location. When you have photos enabled, you have two options: either capture a new photo for every visitor, or you can use existing photos for recurring visitors.

When Use existing photos is enabled, Envoy will check to see if there is a photo on file for every visitor. If they already have a photo on file, the visitor is not prompted to take a new photo. This can speed up sign-in by about five to ten seconds!

To enable:

  1. Select the visitor type you wish to edit.

  2. Select Photo from the top navigation.

  3. Locate Visitor photos and ensure it is toggled to the “on” position.

  4. Locate Use existing photos and toggle it to the desired position.

    1. To enable, toggle to the “on” position. Enabling will use the photo on file for any recurring visitors.

    2. To disable, toggle to the “off” position. This will ensure you capture a new photo for every visitor.

Deleting visitor photos

Global, Location, and Front desk admins can delete a visitor's photo within the entry on the visitor log.

  1. Navigate to Visitors > Visitor log, then locate the visitor you want to edit.

  2. Click into the entry. The visitor's photo will have a ✏️ pencil icon. Click the pencil to open the visitor's photo.

  3. Click Remove photo, then confirm by clicking Delete.

  4. The visitor's entry will be refreshed with their initials. Their directory profile will also be updated to remove the photo.

Visitors are not informed that their photo has been deleted. If they visit again, they will need to re-take their photo.
