Overview
Envoy Visitors Assessments let you collect detailed information and verify knowledge from your visitors, all within the Envoy sign-in flow. Whether you're screening for compliance, sharing safety policies, or verifying training completion, assessments make it easy to standardize the experience.
Set up
Assessments are made up of Sections, which have their own description and content. Within each section, you can have questions about that specific content. Assessments can have as many sections as you need. Once your assessment is created, you can assign it to sign-in flows at your location.
Step 1: Creating an Assessment
Navigate to Visitors > Assessments and click Create a new assessment or New assessment.
A blank assessment will be opened. First, give it a name by clicking the βοΈ pencil icon. Visitors will see the title of your assessment, so it's best to use a concise title.
Assessments are organized into Sections, which have their own description and video (optional). The video must be publicly accessible via a link.
After adding your section's description and content, you can start adding Questions.
Add new answer options by clicking + Add option. Maximum 20 options.
Re-order the answers by using the handle to the right of the answer bank.
Delete an answer by clicking on the ποΈ trash can.
Denote the one correct answer by clicking the selection circle.
Change to multiple correct answers by toggling Multi-select and selecting the boxes.
You can add more questions to your section by clicking + Add question.
After adding your needed sections, content, and videos, make sure to click Save.
To edit or delete an existing assessment, click on the ellipses (..) then select the appropriate action.
Step 2: Assessment settings
Change how often visitors need to take this assessment by clicking on Settings in the upper left-hand corner.
By default, all visitors must get all questions correct (100%) before proceeding to the remainder of the sign-in flow. This setting is not currently customizable.
Changes to this assessment require all visitors to retake it: This setting ensures that any updates made to a quiz (such as revised questions, answers, or instructions) trigger a new completion requirement for all visitors.
Response validity period: Define how often returning visitors must re-take the assessment. This is defined in terms of days.
Locations: Select which sign-in flows you want to add this assessment to. You can also do this by navigating to the sign-in flow, which is shown in the next step!
Step 3: Assigning an assessment to a flow
The final part of assessment creation is assigning an assessment to a sign-in flow. This can be done on the assessment's settings or within the sign-in flow.
Navigate to Visitors > Settings > Sign-in flow, then select the sign-in flow to which you want to add the assessment.
Navigate to the Assessments tab, then click Add assessment.
Select the assessment(s) you want to add, then click Add.
Your sign-in flow will show the new assessment!
To remove an assessment from a sign-in flow, just click the ποΈ trash can. This will not permanently delete the assessment.
Visitor Entry
You can see if a visitor has completed their necessary assessments by looking at their entry and/or invite. All applicable assessments will be listed here. Currently, only a 100% correct score allows visitors to "Pass."
You can also display the assessment status in the log columns for at-a-glance checks.
Visitor experience
Preregistration
If you want to save time on the day of arrival, it's recommended to invite visitors so they can complete assessments before visiting your workplace. They'll be able to register using the link in their invitation email. Learn more about registration with invites.
Kiosk
Visitor assessments are available on Envoy Visitors app v. 4.43.1
When signing in using the Kisok, walk-up visitors and invitees who have not completed preregistration will be required to take their assessment(s) as a part of the sign-in process.
The assessment is shown after the sign-in fields and before any legal documents. If the visitor gets a question wrong, they will not be able to proceed past the current section.
β¨Tip: If your video requires sound, make sure the speaker is turned up. Many cases fully enclose the iPad and do not allow visitors to change audio settings.β¨
Static QR code
By using a static QR code, you can allow visitors to sign-in using their own devices! Learn more about Static QR code sign-in.
FAQ / Troubleshooting
My video isn't working!
It's possible that your video isn't publicly accessible by link. On Youtube, for example, the video must be either Public or Unlisted.
Is there a limit to how many questions I can add to each section?
There is no limit. If you have a long assessment, encourage visitors to use preregistration to take their assessments before arrival to save time at sign-in.
