Setting a schedule

Employees can schedule days or weeks in advance on the Envoy web dashboard. When you select a day on your schedule, it holds a place in the workplace for that day and reserves a desk for you.

Booking for multiple days at a time

  1. On the Your schedule page, click Select multiple days in the top-right corner.

  2. In the Select release dates modal, choose the dates you want to lend your desk.

  3. Click Schedule to confirm.

Booking for single days at a time

  1. Go to the Envoy dashboard and navigate to Your Schedule on the left-hand side of the dashboard

  2. Click Schedule on the date you want to schedule.

Note: If your workplace has desk auto-assignment set to on, once scheduled, you can click View desk to see the automatically assigned desk.

If not, you'll need to select the Book desk option.

Book your desk from your schedule

  1. After you click Schedule on the date you want to book, click Book desk

  2. You'll be automatically assigned a desk. If all unassigned desks are taken, you may be assigned a lent desk, which will appear in your schedule row (e.g., "Desk C5, 4th floor").

  3. Click View desk to see your assigned desk on the map

Book your desk from the map

  1. Navigate to Maps.

  2. Select the floor and date you want to book.

  3. Click an available desk on the map to open the details panel.

  4. Click Book Desk to confirm.

How to sign in using the web

  1. Go to the Envoy dashboard.

  2. Navigate to Your Schedule on the left-hand side of the dashboard.

  3. Click Schedule on the current date, if you have not already scheduled for the day.

  4. Sign in when prompted by clicking on the Sign in button.

Viewing your desk

  1. Go to the Envoy Dashboard

  2. Navigate to Your Schedule on the left-hand side of the dashboard

  3. Click Schedule on the date you want to schedule.

    1. Note: Once scheduled, you will be assigned a desk if auto-desk assignment is on. If not, you have the option to book a desk manually.

  4. Click on View Desk to view your assigned desk.

Change Your Desk

  1. Select Your Schedule from the left-hand side menu of the Envoy web dashboard.

  2. Find the day you want to change your desk and click View desk.

  3. You will be directed to your workplace map with your desk highlighted in a red icon labeled Your desk.

  4. To search for available desks (they will be highlighted in green), use the ribbon at the top to:

    1. Switch floors.

    2. Filter by neighborhood.

  5. When you have decided on your new desk, click on it, and a pop-up window will appear. Select Book Desk, and your desk selection will be updated.

Releasing your desk

There are three different ways to release your desk: Free up desk, Cancel reservation, and Lend desk

Free up desk

  1. Click on the three dots(...) on the date entry

  2. Select Free up desk to be unassigned from the desk, but remain scheduled to come in for the day.

Cancel your reservation

  1. Go to Your schedule

  2. Find the date you want to cancel your reservation

  3. Click the ellipsis to the right of the blue date

  4. Click Unschedule to remove your workplace reservation completely.

    1. Click Free up desk to remove your desk booking, but remain scheduled.

  5. Confirm that you want to unschedule the date

Desk Lending

If you have a permanently assigned desk, you can lend it so others can book it when you won't be in the office.

Rebooking a desk

If you free up a desk but would like to rebook, you can do so on the web dashboard.

  1. Go to the date for the desk you would like to rebook

  2. Click on Book desk, and you will be automatically assigned a desk

Booking confirmation emails

If your admin has enabled reservation emails for your location, you'll receive a confirmation email when a desk is booked for you — whether you booked it yourself or an admin reserved it on your behalf.

The email includes your desk details, location, reservation time, and a View reservation link.

Note: You won't receive a booking email for a desk that's permanently assigned to you.
