Global Response Settings

Learn how to manage your Envoy Response settings across your locations.


Overview

Global admins can manage Response settings for multiple locations at once from the Global overview. This includes:

  • Emergency notifications: Choose which locations can send emergency notifications.

  • Employee phone numbers: Choose which locations show employees a banner prompting them to add a phone number.

These global controls work alongside location-level settings. Location admins manage these settings for their own location under Response > Settings. Learn more in our Setting up Envoy Response article.

Access global Response settings

  1. Log in to the Envoy web dashboard.

  2. Select Global overview from the location menu.

  3. Navigate to Response > Settings.

Allow admins to send emergency notifications

Emergency notifications let admins create incidents and send alerts to employee and visitor groups from the web or mobile app. A location must have emergency notifications turned on before admins can use our emergency functionality: Two-way chat, safe/need help responses, and roll call.

  1. On the Incident management settings page, click Edit next to Allow admins to send emergency notifications.

  2. Select the locations you want to update:

    • Check individual locations, or

    • Check a location group (for example, Canada or USA) to select every location in that group, or

    • Check the box at the top of the list to select all locations.

  3. Click Enable selected to turn emergency notifications on, or Disable selected to turn them off.

  4. You can also enable locations one-by-one by using the toggle on the left-hand side.

  5. These settings save automatically.

Manage employee phone number collection

Employees need a phone number in their Envoy profile to receive SMS emergency notifications. When this setting is on, employees without a phone number see a banner on the dashboard and the mobile app homepage prompting them to add one.

  1. On the Incident management settings page, click Edit next to Passively collect employee phone numbers.

  2. Select the locations you want to update, using individual locations, location groups, or select all.

  3. Click Enable selected to show the banner, or Disable selected to hide it.

Organization-wide threat notification rules

Set proactive threat notification rules that apply across every location, including VIP alerts. See VIP protection.

Display HRIS home locations on the threat dashboard

Show employee home locations synced from your HRIS on the threat dashboard, and optionally limit which admins can view them. Requires an HRIS integration.

How global and location settings work together

Global settings and location settings control the same feature. A change in Global overview applies to the selected locations and appears in each location's Response > Settings. Likewise, a change a location admin makes at their location is reflected in the global view.

FAQ

Who can change these settings globally?

  • Only Global admins. Location admins can manage these settings for the locations they administer under Response > Settings.

If I turn off emergency notifications for a location, can admins at that location still send alerts?

  • No. Emergency notifications must be on for a location before admins can send them from that location. Location admins can send non-emergency messages, but they can't include two-way communication or roll call functionality.

Does the phone number banner add phone numbers automatically?

  • No. The banner prompts employees to add their own phone number. To add employee numbers, use manual entry, a CSV upload, or directory sync, and be sure to include the phone_number field.
