Learn how to send instant notifications during critical situations by using the Envoy Dashboard.

Overview

After enabling Emergency notifications, global and location admins will be able to send emergency notifications on web or Envoy mobile. Global admins can send emergency notifications to any location, while location admins will only be able to send them for the locations they are admins of.

To ensure that your employees and visitors receive your SMS emergency notice, please ensure that we have their phone numbers on file. No SMS will be sent if we do not have their number.

  • Employees: Their mobile number must be listed under their Envoy profile in your employee directory. See here on how to add your employee phone numbers.

  • Visitors: Require visitors to provide their phone numbers during registration. Learn here on how to update your visitor sign in flow.

How to send an Emergency notification

Before sending an emergency notification, the feature must be enabled at the location where it is to be sent. Learn more here.

  1. Navigate to Communications > Message log. The message logs list all emergency notifications sent at this location from any admin or device.

  2. Click on Send new message in the upper right-hand side.

  3. The message window will open. Type in your Message and Message title (optional). Messages are limited to 320 characters.

    Tip: Select an incident template to automatically populate the message.

  4. Select your Delivery method(s). Choose from SMS, Envoy mobile push notification, and/or email.

  5. Select the employee(s) by check-in status, primary location, or custom group. Available with Workplace Premium Plus.

    1. Just you: Just you (This is a great option for testing)

    2. Employees checked in: All employees that are currently checked in via Envoy workplace.

    3. Employees scheduled but not checked in: All employees that have reservations at this location, but have not checked in via Envoy workplace.

    4. Employees with primary location of [Location]: All employees with your current location set as their primary location.

    5. Employee directory of [Location]: All employees in the directory of your location, regardless of their primary location or onsite/remote status.

      1. add groups or employees: clicking this allows you to add specific employees or idp-synced departments/groups.

  6. Select the visitor(s)(optional). Available with Visitors Enterprise.

    1. Visitors signed in: All visitors currently checked in via Envoy Visitors

    2. Visitors invited but not signed in: All visitors invited, but have not checked in via the Kiosk or Dashboard. This is a great way to ensure visitors en route to your workplace stay informed.

    3. Visitors signed out: Visitors who have been signed-in but have signed out.

  7. Decide if the message is a Critical or priority message. If this is an Emergency situation, make sure to check this option!

    1. Ask recipients to mark as safe, which allows recipients to mark themselves as safe or acknowledge receipt. You can only ask recipients to mark themselves as safe if the message is marked as critical or priority. Learn more about marking as safe.

  8. Once you've finished setting up your message, click Send now.

The Message log will now show the newly sent notification. Clicking on the notification text will pull up more details, like the sent status and whether or not they have marked themselves as safe (if applied). This allows admins to view real-time data about the individuals in your building.

All recipients

  • Employees

  • Visitors

All statuses

  • Not marked as safe

  • Marked as safe

  • Not sent

  • Sent

Employee Experience

  • The email, push, and SMS notice from Envoy will display your emergency notification message. Users can mark themselves safe by clicking/tapping the link provided in the message.

  • Employees can also open the Envoy mobile app to view your emergency notification under the Announcement section on the Home tab.

  • To ensure that your employees receive your SMS emergency notice please make sure that their phone number is listed in your employee directory. No SMS will be sent if we do not have their number. See here on how to add your employee phone numbers.
