Exporting Workplace Maps

Download a static version of your floor plan, including desk and room labels, for sharing, printing, and planning.


Overview

You can download and print a static version of their floor plan, complete with desk and room labels. Exported maps give your team a clear, fixed source of truth to share with stakeholders, reference in meetings and on-site walkthroughs, and use while planning or executing office changes. Unlike live shares, you don't need to open a web browser to see the map.

What you can export

Export captures your floor plan exactly as it appears on screen, including any filters and view settings you have applied. You can produce a print-ready or shareable file for a single floor that reflects your current scenario.

Each export includes the floor name, making the output easy to identify while preserving the layout's proportions and spatial accuracy, ensuring desks and rooms appear where they actually are.

Exporting a floor map

  1. From the Envoy dashboard, go to Workplace > Maps and click Edit to open the map editor.

  2. The export feature takes a "snapshot" of what is currently viewed in the map editor.

    1. This means that any shared desks will be shown relative to their current assignments. To change this, click on the View assignments by time button in the upper right-hand corner of the editor and set a new day/time.

  3. Click the export button in the top-right corner.

  4. Once the Export preview opens, you can set the map to the view you want to download.

  5. On the right-hand side, you customize what is included in the export and how it looks. More information on labels and granularity is detailed below.

    1. Facilities: Desks, Rooms, and Points of Interest

    2. Labels & Overlays: Assignee names, Assignee initials, Desk names, Neighborhood names, Neighborhood colors, Room names, POI names

    3. Size: Use the sliders to adjust Markers and Labels.

    4. Export format: SVG, PNG, or PDF.

  6. A live preview updates as you make changes, so you can see exactly what the final file will look like.

  7. (Optional) You can use the pencil, T, or box icon to add any annotations.

  8. Select Export to download your map. The file will be named "[floor name]-export."

Configure what appears on the map

Use the configuration panel to tailor the export to your scenario. As you toggle options, the preview reflects your changes.

Facilites

  • Desks: You can choose to show the desk name, the assignee's name (if the desk is assigned), and the neighborhood names.

  • Rooms: By default, Room names are enabled, but you can remove these.

  • Points of interest: Optionally include non-bookable resources like printers, elevators, and stairs.

Labels & Overlays

  • Assignee names

  • Assignee initials: Show or hide the initials that represent people on the map. Profile photos are not supported.

  • Desk names

  • Neighborhood names

  • Neighborhood colors: show or hide neighborhood highlights. Unlike the live map, neighborhood colors display as "rings" around a desk, not colored overlays. A neighborhood color key also appears in the bottom-right corner of the map.

  • Room names

  • POI names: It's recommended to keep these on if you have any custom POIs.

Size

Use the sliders to adjust the display size of map objects. Markers are the actual icons used to represent facilities. Labels are the text below them.

Choose a file format

Map export supports the following formats:

  • SVG, recommended if you want to provide an editable, vectorized copy to open in an illustration tool like Figma or Illustrator.

  • PNG, best for printing or sharing via Slack or Teams, or embedding in a presentation. You can use the slider to set the image resolution.

Exports are designed to remain legible at common print sizes, and labels are laid out to avoid overlap or truncation.

Confirmation and errors

When an export finishes, you'll see a confirmation that it completed successfully, and your file will download. If an export fails, you'll see an error message describing what went wrong so you can adjust your configuration and try again.

FAQ

Can I export multiple floors at once?

  • No, you can only export one floor at a time. To export more, repeat the process.

Can I create a scheduled export?

  • At this time, all exports must be manually performed.

Can I export via the mobile app?

  • No, exporting is available only on the web dashboard.
