Learn how to use Zoom to receive Host notifications and display messages in the event of an emergency.

How does this integration work?

For Visitors: Envoy will send employees a Zoom chatbot DM when their visitors arrive.

For Emergency notifications: Envoy will take over the paired Zoom rooms at the corresponding location. Only available with Visitors Enterprise or Workplace Premium Plus subscriptions.

Enabling Envoy + Zoom

Note: You’ll need to be an admin on your Zoom account to complete this integration. Either become an admin or ask your admin for help before completing these steps:

Step 1: Authorize app

  1. Search for Zoom > Click Install, then Authorize permisions, and Connect Account.

  2. Log in to your Zoom account and authenticate the Envoy chatbot.

  3. Once connect, click Next step.

Step 2: Visitors

  1. This step provides an overview of the Zoom chat functionality.

  2. To confirm and install, click Next step.

    1. To skip and proceed to Communications setup, click Skip.

Step 3: Communications [Beta]

With Envoy's Emergency notification screen takeover, admins can "takeover" all paired Zoom rooms assigned to their location. This will display their emergency message throughout their workplace. This functionality also works with Rooms displays, Screens, and the Visitors Kiosk.

Zoom Rooms 5.3.0 or higher is required. Zoom Rooms digital signage must also be enabled.

To enable:

  1. Select your Envoy location under the dropdown menu.

  2. Select at least one corresponding Zoom Room location from the dropdown. The options shown will be loaded from the existing locations within your Zoom instance.

    1. Not sure which meeting rooms are included in your Zoom location? You can check in your Zoom admin portal under Room Management > Zoom Rooms and filter by location.

  3. Click Complete Setup.

To use:

  1. When sending an emergency notification, check the box next to Takeover all Envoy screens in this location.

  2. Your message will take over your screens within seconds of clicking the Send now button.

Disabling the Envoy + Zoom chatbot integration

  1. Go to Integrations > All Integrations > installed integrations

  2. Find Zoom. Click Configure.

  3. Click Uninstall.

Note: The Envoy directory email for the host must match the Zoom account email.
