How to be a Neighborhood Captain

Easily manage desks and assignments in your designated neighborhood.

About the Neighborhood Captain role

As a neighborhood captain, you can manage seating for the neighborhood(s) your admin has assigned you to. This means you'll have limited edit access to the live map.

You can:

  • Remove a desk's permanently assigned employee

  • Schedule a desk assignment

  • Edit the amenities on a desk

  • Enable or disable a desk for booking

You cannot:

  • Delete desks

  • Rename desks

  • Add desks to your neighborhood(s)

  • Move desks around

  • Edit any Points of interest or Rooms

  • Open the Desk details panel for a desk not in your assigned neighborhood(s)

Accessing the live map

  1. To edit desk assignments on the live map, navigate to Maps > Live Map. You should see an Edit button in the right-hand corner. Click Edit to access the live map.

  2. By default, the map will show your assigned neighborhood(s) highlighted.

  3. From here, you can click on any accessible desk to open the desk details panel.

  4. You can also use the Map overview panel on the left-hand side to open up the desk details. This panel organizes desks into Assigned, Hotel, and Disabled.

Assign an employee to a desk

  1. Click on the desk to open the Desk details panel.

  2. Under Assigned employee, click the dropdown to search the employee directory. Select the employee you want to assign.

  3. Remember to Save after making any changes! The changes will be reflected on the Live map immediately after saving.

Remove an employee from a desk

  1. Click on the desk to open the Desk details panel.

  2. Under Assigned employee, use the Delete or Backspace key to clear out the employee's name.

  3. The desk will change to a green icon, removing the employee's initials or photo.

Disable or enable a desk

Desks are Enabled when they are available to book. By assigning a desk, you limit the desk booking to only that employee. When a desk is disabled, no one can book that desk in Envoy, even if someone is assigned. As a neighborhood captain, you'll only be able to see which desks in your neighborhood(s) are disabled - other disabled desks will not show on your map editor.

  1. Click on the desk to open the Desk details panel.

  2. Use the Enable desk toggle to change the booking status.

  3. Remember to Save after making changes.

Schedule a desk assignment change - effective in the future

  1. Once on the map editor, click on the desk you wish to edit. In the Desk details sidebar, you should see the option to Schedule desk assignment.

  2. After clicking on Schedule desk assignment, select the desired employee from the drop-down menu and choose a date for the assignment to take effect, then click Schedule.

    1. To unassign a desk, just check the Unassign desk checkbox and select a date.

  3. You can repeat this for as many desks as needed, within your neighborhood.

  4. The changes will show in the Desk details panel, and the map will show a purple clock icon on the desk, signaling an upcoming change.

  5. Remember to Save! Your planned changes will go live on the date specified.

Add or remove an amenity

  1. Click the desk you want to edit to open the Desk details.

  2. Under Desk amenities, select or deselect amenities. Your workplace admin sets this amenity list - as a neighborhood captain, you will not be able to add a custom amenity.

  3. Click Save to publish your changes.
