Uploading Documents on Behalf of Your Visitors (Hosts)

Learn how to upload required documents for your visitors during the invitation process.


Overview

Your workplace may require that certain visitors provide a document before their visit, such as a waiver, certificate, or an insurance form. If your visitor has given you a copy, you'll be able to upload that document on their behalf when you create their invitation.

If the visitor type you choose doesn't require any documents, you won't see a document upload option, and there's nothing extra to do.

A document you upload as a host is reviewed and approved by an admin before your visitor can finish registration. Every uploaded document goes through this approval step. Plan for a little review time so your visitor gets their invite without a last-minute delay.

How to upload required documents

Upon invitation creation

If you happen to already have a digital copy of your visitor's document(s), this is a great option to help speed up the pre-registration process for your visitor. Keep in mind that the invitation email will not be sent until an admin approves the upload.

  1. Go to Visitors > Invites and click New invite.

  2. Select the Visitor type for your visitor. If that visitor type's sign-in flow requires documents, a Documents section appears at the bottom of the invite form.

  3. Fill in the rest of the required invite details (visitor name, email, date, and time).

  4. In the Documents section, find the required document. Click Upload a document, or drag and drop the file into the upload area.

    1. Set an expiration date, if required. If the document type auto-extracts expiration dates, the date may fill in for you. You can adjust it if needed.

  5. Submit the Invite for approval by clicking Invite.

What happens next:

  • Your admin reviews the document you uploaded. The invite is sent to your visitor once the admin approves it.

  • Your visitor completes the rest of pre-registration. They are not asked to upload the document you already provided.

  • When your visitor finishes pre-registration, they receive their QR code (if used at your location).

Option 2: Add the document after you've created the invite

This is a good option when the invite needs to go out right away, or when you don't have the document yet at invite time.

  1. Create the invite as usual and send it. If the visitor type requires documents, the invite still sends.

  2. Go to Visitors > Invites and click your visitor's name to open the invite record.

    1. You may need to navigate to their expected arrival date if the filter isn't already set.

  3. Open the Documents tab.

  4. Click Upload a document, or drag and drop the file into the upload area.

    • Accepted formats: PDF, JPG, PNG.

    • (Optional) Set an expiration date, or let auto-extract fill it in.

What your visitor sees

  • If you upload a document during invite creation, your visitor won't be asked to upload the document you provided. That requirement is already handled.

  • If there are other required documents you didn't upload, your visitor will still be prompted for those during pre-registration.

  • Your visitor gets their QR code once pre-registration is complete and any required documents (including the one you uploaded) are approved.
