Overview
When a visitor signs in, Envoy can automatically notify their host, by email or push notification, reminding them to sign their visitor out. Reminder notifications are configured per visitor type, allowing you to set different timing rules for each sign-in flow.
Hosts receive a notification with the visitor's name, sign-in time, and location, along with a direct Sign out visitor button to close out the visit immediately.
Set up a host sign-out reminder
Navigate to Manage > Location settings.
Scroll to the Visitor & employee sign-out section.
Click Enable next to Host sign-out reminder.
In the Visitor type dropdown, select the sign-in flow you want this reminder to apply to.
In the Duration after sign-in dropdown, select a time interval (30 minutes, 1 hour, or up to 24 hours) from the time the visitor signs in.
Under Delivery methods, select Email, Push, or both.
Email sends a message to the host's inbox.
Push sends a notification to the host's Envoy Mobile app.
Click Add another and repeat the steps above to add reminders for additional visitor types.
Click Save. Once saved, the notifications are enabled, and an Edit button will appear.
Note: You must select at least one visitor type and at least one delivery method before saving. Any incomplete rows will be automatically removed when you save.
What hosts receive
Depending on the delivery methods you selected, hosts will receive either an email, push notification, or both.
Email: A message from your location's Envoy account with the subject "Sign out your visitors." The email lists the visitor's full name, sign-in time, and location, and includes a Sign out visitor button that signs out the visitor directly.
Push notification: A notification on the host's mobile device with the message "Sign out your visitors now." Tapping the notification opens the visitor's details in the Envoy Mobile app, where the host can sign them out.
Note: Push notifications require the host to have the Envoy Mobile app installed and notifications enabled.
Disable or edit a reminder
Navigate to Manage > Location settings.
Scroll to the Visitor & employee sign-out section.
Click Edit next to Host sign-out reminder to modify visitor types, timing, or delivery methods.
To turn off reminders entirely, click Disable.
