Alert & disrupt check-ins when visitors match persons of interest in Ontic

Overview

Ontic is a security platform that integrates with Envoy Visitors to cross-reference sign-in information with custom Ontic watchlists and potential threat indicators.

If a visitor’s details match known details in your Ontic watchlist, you can automatically disrupt the check-in flow, trigger alerts, and update admins with key information.

Configuration

You'll need the correct permissions within Ontic to install this integration.

Step 1: Install the Ontic app within the Envoy Dashboard

  1. Navigate to Apps > All apps and search for Ontic and click Install.

  2. Click Authorize to allow the Ontic App to access your Envoy Visitors data.

  3. Enter your Ontic domain (ex. Glacier.ontic.ai)

    1. Optional: Decide if you want to enable manual verification for Visitor matches in Ontic

  4. Click Complete Setup to finish the App setup at this location.

  5. Repeat this step at all locations you want to integrate with Ontic.

Step 2: Configure the Envoy app within the Ontic Administration portal

  1. In Ontic's App directory, locate Envoy and select Manage Companies.

  2. Select Add New Company, then log in to your Envoy account.

  3. Once authenticated, you can configure your Flows within Ontic. Click Add New Flow to begin.

  4. Select the Envoy sign-in flows you want to include in your Ontic screening and click Add Envoy Flows.

  5. To map your Envoy sign-in fields to your Ontic fields, click the ellipses (...) on the right-hand side of the flow you want to configure. Then select Configure Flow from the menu that appears.

  6. In the pop-up window, match the attribute in Ontic to the appropriate Envoy field, then click Map Fields to save.

  7. Repeat mapping for each location as needed.

We recommend signing in or inviting a test visitor to verify the connection before welcoming your first guest!

Optional: Manual Verification with Ontic

If you enabled manual verification for matches within Ontic, as detailed above, you can set the conditions for manual verification to be required from Envoy.

  1. Within the Envoy page in Ontic's App Directory, click on the ⚙️ Settings icon.

  2. Choose between the two options:

    1. For all Matched Entities: Selecting this option will disrupt the sign-in process for all visitors that produce a match in Ontic.

    2. For matched entities meeting the following conditions: By setting conditions in this box, you can restrict the conditions for which Ontic will disrupt the sign-in process. For example, to only disrupt the check-in process for BOLO Entities, you would set the condition: ‘If: On Lookout is
      equal to Yes.' You will still get matches for visitors not on BOLO, but it will not
      disrupt the sign-in process.

Visitor Sign-in Process

Visitors can sign-in using the Visitors Kiosk. Ontic receives their sign-in data to check if they're an Entity that needs to be reviewed. If Ontic flags an entry, the Visitor is shown a "Please wait here" screen.

On the Envoy Visitor log, the entry will appear as Approval Required.

The entry will appear in the Ontic dashboard.

You can view more details on why the entity has been flagged.

After reviewing the information within Ontic, the attempted visitor entry can be approved or denied within Envoy, and the entry will update accordingly.
