How does Access It! work with Envoy?

This solution allows visitors to automatically receive credentials during sign-in as well as expire Access It! by RS2 Technologies credentials during sign-out using the Access It API. For customers utilizing Envoy Workplace, this app also offers support to activate and suspend employee access automatically during employee sign-in and sign-out.

PREREQUISITES

  • A system user with the role Administrator is required to complete the integration.

  • The Administrator User Group is required to have the following full access permissions in Cardholder Fields:

    • Cardholder Access Levels

    • Cardholder Active Date

    • Cardholder Status

    • Any UserDate field used for email

  • Cardholder Status is required to be toggled to "Date Based". AccessIt! supports updating this status en masse.

  • Version 10.0 and above require enabling "API User Access" for the Admin user group

  • The following IPs should be whitelisted for inbound and outbound communication.

    • 18.204.164.109

    • 52.6.210.64

    • 52.86.90.108

  • Validate the port configured within the Access It! and confirm the port is whitelisted alongside the IPs above.

Enabling Envoy + Access It

Steps to enable Access It! (RS2)

  1. Navigate to Apps > All Apps in the Envoy dashboard.

  2. Search for Access It! (RS2) and click Install on the corresponding result.

  3. Info: In order to facilitate this connection it is necessary to provide credentials and remote connectivity to your Access It! instance to be accessed over the internet. If your network enforces IP blocking or "whitelisting" it will be necessary to enable the following Envoy production IPs:

    1. 18.204.164.109

    2. 52.86.90.108

    3. 52.6.210.64

  4. API Access: Proceed to the API Access step and enter your Access It! credentials.

  5. User Lookup: This is a list of all of the user fields in Access It! In order to activate and or create users, we need to use their email as an identifier.

  6. Visitors: This section will allow you to customize the app behavior for Visitors' signing in through Envoy.

    1. Invite Required [Optional]: Visitors will not be registered during sign-in if this option is enabled and they do not have a previous invite.

    2. Early Access: This option allows you to specify a duration of access prior to the scheduled visitor arrival for the visitor to access the facility (e.g., parking, navigating to a meeting room, etc).

    3. Access Duration: This option allows you to specify the duration of access for visitors.

  7. Workplace: Once your credentials are submitted successfully you will proceed to the Workplace step. This step allows you to customize the functionality for employees signing into Envoy through Workplace.

    1. Workplace Enabled: This option will enable all options in the section. Disabling this option will disable all options regardless of their state (e.g., "Disabled During Sign Out" toggled on).

    2. Employee Access Duration: This option will allow you to set a time period in which employee access cards are active after a successful Workplace attestation.

      1. Note when an employee signs out of the workplace this will update the expiration to when that action takes place & their badge access will deactivate. For example if you set the access duration time to 24 hours, a user's badge access will deactivate when they sign out of the workplace.

    3. Exclude Employees: This option allows you to select employees to entirely exclude from Envoy Workplace functionality as part of the app's automations.

    4. Access Levels for Employees [Optional]: This option allows you to map default access levels to employees.
