Attachments for Emergency Notifications

Learn how to send images alongside your emergency notifications.

Overview

In an emergency, clear communication saves time and reduces confusion. With Envoy’s Emergency Notifications, admins can attach images, like evacuation maps, floor plans, or incident photos, to alerts sent via SMS, email, Slack, Teams, and mobile push. Adding visuals makes messages easier to understand and helps people act quickly and safely.

Attaching an image

  1. The message window will open. Type in your Message and Message title (optional). Messages are limited to 320 characters.

  2. Click on Attach image or pdf.

    You'll be prompted to upload. Select your file.

    1. Supported file types are .JPG, .PNG, .PDF

    2. Maximum file size is 5MB

  3. You can click on the image preview to confirm the correct image has been attached.

    1. PDF will prompt a download and are not viewable in-line.

  4. Finish creating your emergency notification by selecting recipients and delivery methods, then click Send now.

Minimum app requirement for attachments: v5.12.0

  1. Navigate to the location you need to notify by selecting the dropdown caret next to the location name at the top left.

  2. Click the plus icon at the top right and choose Send an emergency notification.

  3. A new window will pop up where you can type in your Message and Message title (optional).

  4. You should see an + Attach file option. Tap this and select your image.

    1. Supported file types are .JPG, .PNG, .PDF

    2. Maximum file size is 5MB

  5. Finish creating your message by selecting recipients and delivery methods. Once complete, tap Send to notify your recipients.

Creating templates can establish consistent messaging and save time in an emergency. You can add images to these templates to strengthen your emergency response plan.

  1. Select an existing template to add an image to, or click Create new template.

  2. Fill out the template accordingly, then click Attach image or PDF. Select your file, then continue to fill out the template.

  3. Click Publish to [x] location(s) to publish your template. Once published, it will be available for admins to use on the web and Envoy mobile.

Recipient experience

Envoy mobile

The image attachment will be viewable on the mobile app within the message. Recipients can tap to enlarge and pinch to zoom.

Email

Recipients can open the attachment in their web browser or email app.

SMS

The image will be available as a link for SMS recipients. It will open in the device's default browser, and recipients can pinch to zoom as needed.

Slack

PNGs and JPGs will be shown inline with the message (example below). PDF will be sent as a link.

Teams

PNGs and JPGs will be shown inline with the message. PDF will be sent as a link (shown below).
