Sign-in field automatic discard

Learn how to discard specific sign-in questions for Employees & Visitors.


Overview

When collecting sign-in information, admins can set a per-field data storage policy to automatically discard certain fields. This is useful when using Rules to determine entry status, but not wanting to store potentially sensitive data.

This feature was mainly used when collecting responses to determine entry during the COVID-19 Pandemic. For comprehensive data retention policies, see our Data Retention article.

Workplace

  1. Click Edit next to the Employee registration.

  2. Click on Response options in the Questions section.

  3. Choose whether you want to:
    • Save all responses
    • Discard all responses
    • Manage by field

  4. If you choose Manage by field, you will need to change each question you want to keep or discard to the proper setting.

    1. Only drop-down responses are eligible for this functionality. All short-answer fields are automatically saved.

What does this look like on the visitor log?

You can still toggle the sign in flow options on the visitor log, however if you've chosen to discard the answers they will no longer be visible on the visitor log. Instead you'll see "response discarded".

Setup Steps for Visitors

Available on Premium and Enterprise plans. Changes can be made by Location or Global admins.

  1. Click Edit on the desired visitor type

  2. Click on the Sign-in fields tab.

  3. Click on Field options.

  4. On the Data storage field option you can choose the following per field:

    1. Save response

    2. Discard response

  5. Click Save.

What does this look like on the Visitor log?

You can still toggle the sign in flow options on the visitor log, however if you've chosen to discard the answers they will no longer be visible on the visitor log. Instead you'll see "response discarded"
