How to lend your desk

Out of office? Learn how to lend your permanently assigned desk for specific dates and reclaim it if your plans change!

Overview

As a desk owner, you can lend your assigned desk so others can book it when you won't be in the office. If your plans change, you can reclaim your desk — as long as no one else has booked it, or their reservation hasn't started yet.

Note: This feature is available via the Envoy web dashboard Schedule page to employees with assigned desks. It is not compatible with Shared desks, and is only available to employees with a permanent, non-rotating desk assignment.

Lend your desk

From the Schedule page, you can lend your desk for a single day or multiple specific dates.

Single day

  1. Go to the Envoy dashboard and navigate to Your schedule on the left-hand side.

  2. Locate the date you want to lend your desk.

  3. Click the ellipsis (…) on that date's row.

  4. Select Lend desk.

Multiple dates

  1. On the Schedule page, click Select multiple days in the top-right corner.

  2. In the Select multiple dates modal, choose the dates you want to lend your desk.

  3. Click Lend desk to confirm.

Your desk is now available for others to book. The Schedule page will reflect the lent status for the selected dates.

Note: You can reclaim a lent desk at any time before the workday begins — as long as no one has booked it. If someone has booked it, you can still reclaim it, but their reservation will be canceled.

Reclaim your desk

No one has booked it

  1. From the Your schedule page, find the date you lent your desk. It will show a message that your assigned desk is available for others.

  2. Click Schedule on the row for that date.

  3. Your desk is reclaimed and removed from the booking pool. The Schedule page will update to reflect your restored desk assignment.

Someone has booked it

  1. From the Schedule page, find the date. It will show a status indicating another employee has reserved your desk.

  2. Click Reclaim on that date's row.

  3. A confirmation modal appears, letting you know that reclaiming the desk will cancel the other employee's reservation.

  4. Click Reclaim to confirm.

  5. Your desk has been restored, and the other employee's reservation has been canceled.

Note: Once the workday has begun (7 am on the reservation day), the Reclaim option is no longer available. The other employee's reservation will remain active for the rest of the day.

Booking a lent desk

When a desk owner lends their desk, it is added to the general booking pool. As a booker, you can reserve a lent desk the same way you'd book any available desk — from the map or your schedule.

Note: Unassigned desks are filled first. Lent desks are offered to bookers only after all unassigned desks have been taken.

Book from the map

  1. Go to the Envoy dashboard and navigate to Maps > Live map.

  2. Select the date you want to book, and navigate to the floor (if applicable).

  3. Click an available desk on the map to open the details panel. Lent desks are labeled "Desk lent by: [Name]" in the panel (e.g., "Desk lent by: Elizabeth Stoufer").

  4. Click Book Desk to confirm.

Book from your schedule

  1. From the Schedule page, click Schedule on the date you want to book.

  2. You'll be automatically assigned a desk. If all unassigned desks are taken, you may be assigned a lent desk, which will appear in your schedule row (e.g., "Desk C5, 4th floor").

Note: When a desk owner reclaims a booked desk, the booker receives a push notification and an email (if enabled) to help them find an alternative desk.


The booker's schedule will reflect that their desk reservation has been canceled, but they will remain registered as coming into the office for that day. They can book a new desk directly from their schedule or the live map.


View your lent desk booking

Once booked, your desk appears in both your schedule and on the live map.

On your schedule

The date row updates to show your assigned desk (e.g., "Desk C5, 4th floor • All day") with a View desk link.

On the live map

  1. Navigate to Maps > Live map.

  2. Click your desk marker or your name on the map.

  3. The details panel shows:

    • Desk name, neighborhood, and floor

    • Amenities

    • Date and time of reservation

    • Desk owner: the name of the employee who lent the desk (e.g., "Desk owner: Bob Moses")

    • Options to Free up or Cancel your reservation
