Emergency Roll Call

Learn how to use Envoy's Roll call to get peace of mind with live safety check-ins during critical events.

Overview

Envoy’s Roll Call feature makes it easy for administrators to account for employees and visitors in real time. When sending an emergency notification, admins can opt in to include a separate, interactive roll call list, making it easy to complete necessary check-ins. Roll call can be completed in the Envoy mobile app and the Web dashboard, making it easy to ensure fast, accurate accountability across channels.

Including a Roll Call

Roll Call is an optional feature of Envoy's Emergency Notifications. You must opt in to use Roll Call when sending each notification.

  1. Navigate to Communications > + New incident on web or + Send an emergency notification on mobile.

  2. Select a template or type your own message. Attach an image if necessary.

    1. Web: Locate Include evacuation roll call list and check the box.

    2. Mobile: Locate Include evacuation roll call list and check Yes.

  3. Select recipients and delivery methods, then click/tap Send.

Using Roll Call

Mobile

Roll call is shown in a separate tab in the emergency notification sent log.

To access:

  1. On the Home screen, tap on the emergency notification in the Communications section.

  2. Tap Manage emergency to open the sent log. By default, you'll see a list of responses. Tap on the Roll Call to view the Employees and Visitors in your office.

  3. The Roll call list is separated into multiple parts:

    1. On-site people to account for: Employees or Visitors who have been checked-in via kiosk, manual sign-in, or auto-sign-in.

    2. Scheduled or invited: Employees who have been scheduled to visit the workplace but have not checked in, and Visitors who have been invited but not checked in.

    3. Present: Employees and visitors who have been marked as present by an admin within the Roll call feature.

    4. Not scheduled or invited: Employees or visitors that recieved the notification but have not been scheduled or invited.

      1. For example, if you sent the notification to all employees within your directory, but they haven't scheduled to visit or checked in, they would be listed in this category.

  4. Once on the Roll call view, you can scroll down the list of recipients and check them off as needed.

  5. As recipients are checked off as present, their names will be crossed out and moved to the Present section.

Note: You can tap the check mark again if things change and you need to "un-count" someone. This will uncross their name and move them out of the Present category.

Web

Roll call is shown as a separate tab in the emergency notification sent log.

To access:

  1. Navigate to Communications > Incident log. Open the desired incident by clicking on it.

  2. By default, the responses log will be shown. Click the Roll Call tab to navigate over.

  3. The Roll call list is separated into multiple parts, with totals listed in the title:

    1. On-site people to account for: Employees or Visitors who have been checked-in via kiosk, manual sign-in, or auto-sign-in.

    2. Scheduled or invited: Employees who have been scheduled to visit the workplace but have not checked in, and Visitors who have been invited but not checked in.

    3. Present: Employees and visitors who have been marked as present by an admin within the Roll call feature.

    4. Not scheduled or invited: Employees or visitors that recieved the notification but have not been scheduled or invited.

      1. For example, if you sent the notification to all employees within your directory, but they haven't scheduled to visit or checked in, they would be listed in this category.

  4. Looking for a specific person? You can use the Search bar at the top right-hand corner to quickly return a record.

  5. You can count recipients as present by clicking Mark as present. You can unclick the present button if things change.

    1. Marking someone as present does not change their response (if included).

  6. You can also update responses by clicking the ellipses and selecting the response on a recipient's behalf.

Exporting [Web only]

To export a .csv copy of your emergency notification, click on Export next to the search bar. The Roll Call Status column will show as either Present or Pending.

Roll call after an incident ends

When an admin ends an incident, the roll call list immediately locks. Admins can still view the full roll call, but cannot check or uncheck anyone as present.

Note: Make sure your roll call is complete before ending the incident. Once the incident ends, no further changes can be made.
