Overview
If your team manages employees in an HR system such as Workday, BambooHR, Rippling, ADP, or UKG, you can use this integration to automatically keep your Envoy employee directory up to date. HRIS directory sync treats your HR system as your source of truth. When employees are added, updated, or removed there, those changes flow into Envoy, so no manual updates are needed.
You can still manually create new employees or add employees from other locations while maintaining your directory sync. Learn more about manually adding employees.
This integration builds upon the existing HRIS integration. To learn more about connecting your HR system to Envoy, read our HRIS integration guide.
Note: You cannot combine multiple directory sync sources. Directory sync pulls in your entire employee directory from your HRIS, except employees who are already inactive. You can’t sync a subset of employees.
Location syncing
All employees in your HRIS will be added to all Envoy locations. Define primary locations in step 3 of your HRIS configuration. Currently, you cannot map specific employees to specific locations. This means every employee added to Envoy can invite visitors and book workplace resources at all active locations.
Move Queue tasks
With HRIS directory sync turned on, department and primary location changes in your HRIS create tasks in the Move Queue:
Department change: A Change desk task.
Primary location change: An Unassign desk task in the previous location’s queue and a Change desk task in the new location’s queue.
Tasks are created when the change reaches Envoy, and they are due that day. Without directory sync, your HRIS creates only new-hire and termination tasks.
Note: These tasks are only created if the employee currently has a desk assigned.
Configuration
Step 1: Connect your HRIS
On the Envoy dashboard, navigate to the Integrations page.
Under Directory and SSO, click Directory settings.
Click Install under HRIS.
If you haven't installed this integration, you'll be prompted to complete it following these instructions.
If you've already installed this, you'll see a confirmation, "Your HRIS account is connected and ready."
Once your HRIS is successfully connected to Envoy, you'll be able to begin syncing.
Step 2: Enable HRIS for directory
Toggle On the switch next to Enable HRIS directory sync.
Once this is enabled, the sync will begin.
