Creating Global sign-in flows
- Click on the drop-down for your locations and select Global Overview
- Click Visitors on the left-hand sidebar
- Click Sign-in flows
4. Click Add a global sign-in flow
5. Name your sign-in flow and give it a description
• The name must be unique, if you already have a flow named "Visitor" you cannot have your global flow named "Visitor" until those location-based flows have been deleted or renamed.
• The description will not be seen by visitors - it's just a way to notate
✨ Tip: We suggest while you're setting this up name the new flow NEW - {flow name}
, once it's set up to your liking you can delete the location-based flows and then edit the NEW
from the name of the flow you just set up.
Copy settings from an existing visitor type
- Go to Global overview > Visitors > Sign-in flows
- Click "Add a global sign-in flow"
- Check the "Copy settings from an existing visitor type"
- Find the visitor type you want to copy
- Save and continue.

Adding Questions, Rules, and Response options to Global flows
- Go to Global overview > Visitors > Sign-in flows
- Toggle to Sign-in fields
- Click "Add fields" and add your sign-in flow just as you would for a single flow.
- If you want Rules select "Rules" and assign denial and/or notification rules
- Once saved you can select "Response options" and choose if you want to keep or discard your drop-down fields
✨ Important notes:
- IF you separate your employees by location, you will have location-specific notifications for each rule.
➖ If Nicole is an employee at Locations A and B, not C, she will get notifications when the rule is triggered for Locations A and B but if someone at C signs in we will skip the notification to her. It will go to whoever is the "Notify" contact in that location's directory. - If you do not separate your employees by locations anyone you assign to get notifications will get them no matter what location triggers the rule.
- If you want to create location-specific notifications you can do with just a few steps (below).
- Go to your location and create a new employee manually.
• If you want this to be a group of employees for each location you can create a distribution list. Something like[email protected]
- Enter that email and give them a name such as "HQ Notifications"
- Click "Save"
- Navigate back to Rules for the global flow and add "HQ Notifications" to be the notify rule.
• Continue to do this for your numerous locations and you will have location-specific notifications.
Managing translations for Global sign-in flows
- Go to Global overview > Visitors > Sign-in flows
- Click on the name of the flow you want to edit
- Click "Translations"
- You can view and edit the translations for the selected language.
• If you have more than one language to translate use the toggle at the top to select that language - Click "Save"
Assigning Global sign-in flows to locations
- When you've created the flow to your liking you can go back to Global overview > Visitors > Sign-in flows
- Find the flow at the top of the page and click "Apply to locations"
- Check all the locations or groups you wish to assign this flow to
- Click save
- To edit which locations the Global sign-in flow is assigned to click "Edit locations" and remove or add locations by following steps 3 and 4 above.
Editing Global sign-in flows
- Go to Global overview > Visitors > Sign-in flows
- Click on the flow name you want to edit
- Click over to the tab you want to change and make your changes
- Save the changes
Deleting Global sign-in flows
- Go to Global overview > Visitors > Sign-in flows
- Click on the flow name you wish to delete
- Click delete
- A modal will appear to verify that you want to delete the flow, click Delete again
Note: This will delete the flow at every location it's assigned to. If you're just trying to remove the flow from one location see Assigning Global sign-in flows to locations section of this article.
